Job summary

The Overseas Visitors Team are looking for a P&IP Officer to identify patients who may need to pay for their NHS care.

Are you looking for quite a different admin role within Newcastle Hospitals Trust? Do you have a keen eye for detail? Do you enjoy working with facts and figures? Do you like working with reports and talking to a wide range of patients every day? Enjoy working in a small and supportive team behind the scenes?

The role is part investigative, part finance, part general admin using different hospital and national systems. You'll be helping reclaim patients' treatment costs using EHIC cards from EU countries and generate invoices. The role includes understanding Home Office visas and ways people from all over the world can be entitled to NHS care. It is likely quite different to anything you'll have done before, but we'll train you in everything that's needed.

The role is based at the Royal Victoria Infirmary but once fully trained there is the option for hybrid working from home for up to 2 days per week subject to office cover. This is a temporary position to cover maternity leave of the current post-holder.

Main duties of the job

The role includes:

  • Daily report running using Excel applying the DHSC Overseas Visitors charging Regulations to identify patients who may need to pay for care.
  • Comply with Equality and Diversity criteria to ensure all patients are assessed equitably
  • Communicate with a diverse group of patients to establish their status and explain the Overseas process where applicable to them. This can include using interpreters where needed
  • Communicate with Home Office, NHSE and national Overseas Visitors colleagues to ensure compliance and correct assessment
  • Share information with OV team and trust colleagues when charging rules apply to a patient's care
  • Raise invoices through the Trust Oracle System
  • Process EHICs using the NHS BSA online portal
  • Update NCRS national status for OVMs
  • Update internal Excel record for actions taken
  • Create and update Patient Flashcards (word document)

Job responsibilities

Manage the invoicing, income and activity pertaining to Private, Overseas and NHS chargeable patients in a timely and efficient manner where ever a non-NHS patient may access the Trust.

  • Ensure Private and International patients, Health Tourists and failed Asylum Seekers receive appropriate information re costs and where needed are interviewed to establish their status where appropriate
  • Ensure maximum recovery of all income due to the Trust across all sites
  • Raise Notification of Debt forms to meet the Trusts targets

To support the provision of an efficient and effective administration and clerical service within Private and International Patient Department including verbal and written communication, welcoming customers as required, answering telephone, taking payment (cash, cheque, bankers draft, debit and credit card payments) giving receipts, booking theatre and bed as necessary.

Ensure case notes, results and GP referrals are available as required.To effectively allocate appointments or theatre space for Private and International patients ensuring theatre space is utilised to its maximum capacity.

Process S2 forms or European Health Insurance Cards for all EEA nationals who elect to come to the UK for treatment or take ill whilst visiting UK charging at the appropriate NHS tariff.
