Job summary
We are seeking Outpatients Clerks to join the busy Ophthalmology Department at the Newcastle Eye Centre, based at the Royal Victoria Infirmary.
The Newcastle Eye Centre is one of the largest eye care centres in the UK, treating over 100,000 patients each year, including a dedicated Eye Emergency Department seeing around 20,000 patients annually. We provide care for adults and children, delivering elective, emergency and highly specialised services.
As a Band 2 Outpatients Clerk, you will play a key role in supporting outpatient clinics and will often be the first point of contact for patients, helping to provide a positive, professional and reassuring experience.
This role is ideal for someone who is organised, caring and reliable. No previous NHS experience is required -- we are looking for a positive attitude, good communication skills, attention to detail and a commitment to excellent customer service. You will be confident using basic IT systems, able to follow procedures accurately, maintain confidentiality and remain calm in a busy environment.

Main duties of the job
As an Outpatients Clerk, you will support outpatient administration by booking, cancelling and rearranging appointments in line with agreed procedures. You will register patients under supervision, prepare clinic lists and notes, and check patients in on arrival, ensuring attendance is recorded accurately.
You will act as a first point of contact for patients, responding politely and professionally to face to face and telephone enquiries. You will provide basic appointment information and clinic directions and ensure that more complex queries are passed to senior administrative staff.The role involves maintaining accurate patient records by updating patient details and clinic outcomes, filing, scanning and copying documentation, and ensuring all information is handled in line with confidentiality and data protection requirements. You will report any data quality issues to a supervisor.
You will support the smooth running of clinics by assisting with patient flow, escalating issues such as missing notes or clinic delays, and helping manage follow up appointments and Did Not Attends (DNAs). General administrative duties will include filing, photocopying, post handling and supporting the outpatient team with day to day tasks. You will also attend training and follow Trust policies, NHS values and health and safety procedures.
