Job summary

An exciting opportunity has arisen for an enthusiastic, motivated, and methodical individual to join the Procurement & Supply Chain department as Scan4Safety IMS Manager at the Royal Victoria Infirmary and Freeman Hospitals. The Trust is investing in the theatre stores function, including the introduction of a modern Inventory Management System (IMS), incorporating the national Scan4Safety programme.

We are looking for an individual who will play a key part in implementing our new IMS and ensure the Trust exploits all the safety and financial benefits of the system into the future.

The postholder will be able to methodically deal with information and data and translate that into fantastic customer service. They will need to be strong willed, numerate and a great communicator with a close eye for detail.

The postholder will support the Trust's Scan4Safety programme, which will include maximising the use of the Trust's Inventory Management and Point of Care Systems.

Main duties of the job

The Scan4Safety IMS Manager will implement and maintain an IMS system across key theatre departments. They will be responsible for ensuring that key stakeholders' requirements are always met in the most cost-effective way possible, ensuring continuity of supplies.

The Scan4Safety IMS Manager will carry out regular reviews with appropriate departmental leads, and theatre stores colleagues. They will be using system information to illustrate spending patterns, identify and agree all products and stock levels with stakeholders, monitor usage and activity patterns and ensure timely and accurate orders to maintain agreed levels.

Regular stakeholder contact is vital to ensure stock levels and the range of products held are regularly reviewed, reflect activity, and are updated in agreement with departmental policies.

The Scan4Safety IMS Manager will assist in value for money studies to contribute to savings targets and regularly report spend/saving activity.

Customer Service is at the heart of this role. The Scan4Safety IMS Manager will need to develop and maintain relationships with key stakeholders throughout the trust to develop knowledge about eachtheatres' requirements.

Duties will include maintaining the IMS alongside colleagues in the Procurement and Supply Chain department, as well as regular user training, in both theatres and theatre stores.

  • The post holder will be fully conversant with departmental objectives, and always be mindful of the Trusts Standing Orders and Standing Financial Instruction.
  • The post holder will be an integral part of the Scan 4 Safety Management Team. Upholding our values and further developing the department in line with its strategic goals, whilst ensuring always an effective and efficient service is provided to end users.
  • The monitoring and development of KPI performance will be an ongoing part of the role as will the implementation of measures that ensure planned performance improvement.
  • Alongside the wider teams development, you will be a key mentor and trainer to theatre stores staff and theatre clinical teams, including within a live theatre environment.
  • Provide Trust representation supporting service developments in a variety of meetings, communication and clear thinking are essential qualities. The ability to interpret and transpose the information to trust staff at varying levels of seniority will also be a necessary to ensure conformity to best practice methods.
  • Work cross-functionally with other departments of our Procurement Function.
  • The post holder will need to have a thorough understanding of Electronic Procurement and Financial systems.
  • Have a shared responsibility for proactively and consistently ensuring that perceived performance problems are clearly identified using system information, that procedures are implemented in the relevant areas to ensure performance is developed in line with best practice methods.
  • The post holder will report directly to the Theatre Inventory Manager and will support them and the Head of P2P and Operations in the establishment, enhancement and maintenance of the Inventory Management system and associated processes.
  • The post holder will work closely with the Directorates Procurement team, including Clinical and Non-Clinical stakeholder engagement, in the provision of data to support procurement decisions.
  • The post holder will need to establish good working relationships with the procurement team, the purchasing team, the systems support team, Inventory management and the finance directorate.
