Job summary

An exciting opportunity has arisen for an experienced and motivated individual to join the team as Charity Events Officer. This new role will support the Charity Events and Volunteer Manager develop, deliver, and evaluate an annual programme of Charity Events and Volunteering for Newcastle Hospital Charity.

We are looking for someone who has practical event management and volunteer coordination experience, who is confident and capable of looking after their own events as well as supporting the delivery of events within a project team. Working with a range of team members and multiple stakeholders, with the guidance of the Charity Events and Volunteer Manager, the post-holder will have excellent written and interpersonal skills, exceptional organisational skills, a creative outlook, and a can-do attitude.

As a key member of the Newcastle Hospitals team, the post-holder will play a pivotal role in supporting the Events and Volunteering function of the Charity as it delivers on its five-year strategy to make a real difference to patients, staff, and the region.

Job responsibilities

  • To support the Charity Director and Charity Events and Volunteer Manager with Charity events and volunteer programmes
  • To support the Charity Events and Volunteer Manager with the development and delivery of an Events and Volunteer Strategy, and to support the Charity Committee, a sub-committee of Trust Board, to fulfil its duties as defined in the Charity Policy and the Trusts Constitution
  • To provide a high quality, effective and efficient administrative service to the events and volunteer programme of the Charity
  • To liaise with colleagues in the Charitys finance team, and with suppliers, to ensure that payments are made quickly, accurately, and efficiently
  • To maintain efficient records of Charity events and volunteer programmes and assist with the monitoring and evaluation of activity, analysing, and interpreting data and reporting on the cumulative and individual impact of programmes
  • To work with the Charity Director and the Charity Events and Volunteer Manager to ensure that effective relationships between the Board of Directors, Council of Governors and Trusts membership are maintained
  • To support the Charity Events and Volunteer Manager with implementation, monitoring and audit requirements of event and volunteer governance for the Charity Committee to ensure compliance with the regulatory framework of the Charity Commission and associated bodies
  • To provide publicity, training and education on Charity event and volunteer programmes and the application process for Trust staff, members of the public and external partners where required
  • To prepare reports for the Charity Committee and Charity Working Groups
  • To work as a key member of the Charity team, contributing to broader engagement and administrative work that contributes to the Charitys overall effectiveness

  • Degree level or equivalent relevant work experience/qualifications

Desirable

  • Specialist qualification or CPD in charity, events, public relations, communications or equivalent

Knowledge & Experience

Essential

  • Knowledge of key issues facing hospitals, and the communities they serve
  • Well-developed financial literacy and experience of undertaking financial administration tasks
  • Experience of communicating effectively with different audiences and different backgrounds across all levels, including stewardship of event attendees
  • Experience of delivering event and volunteer related projects, including but not limited to major flagship events; speaker events; workshops; seasonal activities; staff engagement activities and multi-dimensional volunteering opportunities
  • Understanding of digital communication methods, including social media
  • Interpret and analyse complex data for communication to key stakeholders and decision makers within and outside the Trust / Charity

Desirable

  • Administrative / stakeholder engagement experience in the Voluntary, Community and Social Enterprise (VCSE) sector or within the NHS within clinical and/or corporate services
