Job summary

This role is to provide day to day operational administration functions and end user support of NHS Care Identity Smartcards and Trust ID badges within Newcastle upon Tyne Hospitals.

Providing technical expertise in relation to the Trust's use of the national Care Identity Service system including support of the system's functional management capability. Supporting ID badge administration and facilitating the New Starter process, ensuring the timely and accurate issuance of Smartcards and ID badges.

Main duties of the job

  • Provide support to the RA Supervisor in resolving system queries, providing user advice and guidance, resolving software and hardware operational problems.
  • Supervise BAU RA activities including managing RA and ID badge mailbox queries, coordinating Smartcard Clinics and facilitating the new starter process.
  • Support RA team in providing CIS System Administration.
  • Maintain access controls to ensure end-user access to Spine and clinical system applications is in line with national and local RA policy.
  • Review and maintain documentation and SOP's.
  • Support LSAs and service Sponsors with training resources and necessary access permissions to enable them to fulfil their role.
  • Liaise with the recruitment team, ERA and ESR systems team to process new starters in line with weekly deadlines.
  • Ensure Smartcards are issued appropriately to new staff, manage Smartcard users leaving employment or changing roles to ensure that system access is deleted or amended appropriately.
  • Provide second line support for Smartcard and Trust ID Badge users, providing advice and guidance, resolving problems where possible.
  • Engage with and share relevant national RA intelligence with wider team.
  • Liaise with RA Supervisor to support implementation of national RA policies and system developments at a local level.

  • To co-ordinate the Trusts RA processes for staff including the processing of access control requests, issuance of NHS CRS Smartcards to all Trust staff and the assignment of appropriate access, liaising with other departments such as Workforce Information, Medical Staffing, Staff Bank and IT.
  • Provide general advice to team members, end-users and service managers on RA terms & conditions, policy, procedure and good working practice.
  • Provide day to day supervision to HR administrators and RA agents as well as co-ordinating BAU RA activities.
