Job summary

We are looking for an efficient and well organised Team Administrator to join our friendly administration team.

The applicant must be a great team player and be flexible with working hours covering team members where necessary.

The Team Administrator will be the first line of contact for patients, carers and professionals, handling queries ensuring that accurate advice is provided and confidentiality is maintained.

The applicant must have excellent communication/customer service skills and be able to deal with queries in a helpful, professional and friendly manner.

The Team Administrator will support a complex booking service for patients on the CINSS waiting list, monitoring patient waiting lists and clinical diaries to ensure appointments are booked and meet waiting times compliance.

As part of the administration team the post holder will provide a comprehensive administrative support service to support the Personal Assistant, Clinical Leads and members of the multi-disciplinary clinical team.

The applicant must have a good level of education and have experience using Microsoft Office and electronic systems as well as data inputting.

Main duties of the job

  • Act as the main point of contact for service users, patients and carers dealing with patient enquiries, routine and specialist enquiries and to respond in a helpful manner to enquiries or other issues raised.
  • Handling enquiries ensuring that accurate advice is provided and confidentiality is maintained.
  • To use excellent customer service skills to deal with patients/enquirers to ensure there is a positive experience.
  • To work effectively and efficiently to ensure that all work is completed in a timely manner and deadlines are met.
  • Deals with straightforward and complex enquiries to the clinical team, from GPs and other healthcare professionals, taking action where necessary and ensuring messages are communicated accurately to relevant personnel and in an appropriate and timely manner.
  • Working as part of a team to ensure an effective and efficient booking team.
  • To undertake general office duties as required, including photocopying, etc.
