Job summary

The Business Assistant will provide comprehensive administrative and secretarial support to the Community Therapy Leadership Team and the Operational Transformation Lead across Community Therapy, Falls, Care Homes, Virtual Ward and Breathlessness services. Covering Leicester, Leicestershire and Rutland, the role involves hybrid working, travelling to different bases, and working both independently and as part of the wider CHS Business and Administration Team. As these services deliver urgent community response, flexibility, resilience and the ability to work under pressure are essential. Key responsibilities include effective diary management, booking meetings and events, organising resources and refreshments, preparing agendas, and taking accurate minutes with clear action tracking. Strong proficiency across Microsoft OfficeOutlook, Word, Excel (including data collation and formulas), PowerPoint and Teams is required. The role demands excellent verbal and written communication skills to interact professionally with colleagues and service users, translating information into accurate emails, letters and minutes. You must be able to plan, organise and prioritise your workload, maintaining electronic and paper systems to ensure smooth service operation. Handling confidential and complex patient and staff information with professionalism is essential, escalating issues when needed. Previous NHS experience and competence in SystmOne are required.

Main duties of the job

You must ensure full compliance with all mandatory training requirements and maintain ongoing professional development to support an efficient and effective service. Participation in regular supervision, reviews and appraisals is essential to clarify role expectations and provide opportunities to raise concerns with your line manager. You are expected to communicate professionally and promptly, particularly via email, using prioritisation and flagging systems to ensure that actions and responses are identified, completed or followed up appropriately. You will produce highquality written materials including minutes, patient correspondence, reports, briefings and presentations, ensuring accurate formatting, correct storage and adherence to version control. You must accurately transcribe documents from digital audio dictation or handwritten notes. Managing incoming calls, recording clear messages and relaying them promptly is also required. You will input and retrieve information from the Electronic Patient Record system, ensuring accuracy at all times. To support the smooth running of the department, you will implement and maintain effective office systems, escalating issues that cannot be resolved or are outside your remit. Flexibility is essential to provide administrative cover during planned or unplanned staff absences. You will also manage patient referrals, ensuring they are processed efficiently and in line with service specifications to support safe, patient care.
