The successful candidate will have experience working in an admin role capacity and be able to work cohesively with others to ensure you are maximising the efficient use of time, the resources of the service and with production of high-quality effective reports, training materials and administrative systems and processes.

The Homeless Mental Health Service is an award winning multi-disciplinary team offering, engagement, mental health assessment and referral to mainstream mental health and support services for people age 16+ who are homeless (sleeping rough in hostels) or staying in temporary accommodation (sofa surfing etc.). The team is made up of three full-time mental health practitioners (2 are mental health nurses and 1 is an Occupational Therapist), a part-time psychiatrist, part-time clinical psychologist, and admin team. Referrals are received through many pathways as well as self-referrals.

Main duties of the job

The successful candidate will undertake diary management for self and others, to ensure that appointments are scheduled appropriately and that invitees are informed of meetings in a timely manner to ensure attendance is optimised. To cancel, change and re-schedule meetings if required.

To formulate written information such as minutes of meetings, business and/or patient correspondence, briefings, reports, presentations, mailshots, and leaflets to a high professional standard ensuring that all documents are correctly formatted and stored to enable retrieval and that document version control is adhered to.

Due to the fast pace and nature of the work, the post holder would be required to have the essential knowledge and experience or be willing to learn and develop from commencement and be able to demonstrate within the following areas.

You will be expected to have exceptional written, verbal and face to face communication skills with the ability to communicate effectively with professionals and service-users at all levels in health and agencies external to the service.

Assertiveness skills to challenge potentially inappropriate or unsafe actions of others, for the benefit of patients and the service.

  • ILM level 3 or equivalent skills, knowledge, and experience.

Desirable

  • Knowledge of administrative procedures and systems acquired through training and experience vocational/ NVQ level 3 or equivalent.
  • Full working knowledge and ability to demonstrate in all Microsoft Office packages.
