Job summary

The Leicester, Leicestershire, and Rutland Care Record Programme team seeks a PMO Administrator. This role entails providing expert administrative and secretarial support to team members while overseeing the day-to-day operations of the 'virtual' office. Key traits include attention to detail, independence in task initiation, and enjoyment of a bustling environment.

The core purpose is to provide administrative support to the LLR Care Record Programme and undertake directed activities. This involves proactive, timely, and effective administrative and secretarial assistance. Tasks range from high-level project coordination, meeting scheduling, agenda and document preparation, to maintaining action logs and supporting event/training administration. Additionally, you'll aid in information gathering, inquiries, and ongoing projects, playing a crucial role in sharing health and social care data across the LLR region.

This vacancy is advertised for a 12-month LPT bank contract (until March 31, 2025), as a secondment or fixed-term position due to recruitment for a limited-term project. The fixed-term contract status will be reviewed in accordance with legal obligations, considering the programme's implementation needs and associated timescales. Approval from your current line manager is required for any secondment.

Main duties of the job

As the PMO Administrator, you'll offer expert administrative and secretarial support to team members, ensuring smooth day-to-day operations of the virtual office. You will have a keen eye for detail and enjoy working in a busy environment.

You'll provide timely and effective administrative services, from meeting arrangements to meticulous record-keeping and follow-up procedures.

The role demands proficiency in Microsoft Office and MS Teams, preferably validated by a MOS certification, alongside familiarity with administration tools. You'll assist the team with various administrative tasks, meeting scheduling, documentation maintenance and project organisation. Data management responsibilities include collecting, analysing, and reporting project data, while ensuring accurate maintenance of project documentation for easy accessibility.

You'll play a key role in process improvement initiatives, identifying opportunities to enhance efficiency and effectiveness within the programme administration. Facilitating communication among stakeholders, team members, and leadership is crucial for alignment on project objectives and progress tracking. Your involvement in risk and issue tracking, as well as quality assurance processes, will contribute to programme success and stakeholder satisfaction.
