Job summary

The unit is for men aged 18 to 65 years, who have a diagnosed psychiatric disorder, for example schizophrenia, and have been detained under the Mental Health Act. Alcohol and drug misuse are often part of the problems faced by patients.

We are seeking a highly organised individual to join the Administration team as Ward Clerk at Saxon Suite. The successful candidate will work as an integral part of the Saxon Suite staff team, supporting the Clinical Unit Manager and Nursing staff and liaising with other professionals on the ward.

Main duties of the job

inputting Data on to electronic systems, ordering, making appointments.

Job description

Job responsibilities

Filing all patient documentation in patient case notes Maintaining patient case notes in tidy and workable order

Input data onto Paris system with regards to admissions, discharges, home leave and return to the ward also transfers and adding patient details and making sure the relevant questions are answered in regards to patient

Printing all relevant paperwork and putting in the case notes and contacting the services on admission/discharge and also discharge scanning electronically sending documents to GPs.

Tracking of patient case notes on Paris Plus and Paris creating new case notes and recording these, requesting medical records and community notes and making sure of return and arrange courier delivery when the patient is transferred to an out of area

Collection and distribution of patient and staff mail

Taking messages for staff and service users and accurately relaying

Take messages, documents, and specimens to other departments as required

Requisition for repairs and maintenance of the ward environment and

Report repairs and chase to make sure all has been carried out

Helping the housekeeper in regards to inputting audit outcomes taken and laminated and displayed on the notice

Mattress checks and hand audits

Sending off all audit charts so new are generated, printing off and laminating/ displaying on the notice

Keeping the notice boards tidy and relevant with information for patients and

Updating off duty and entering staff/bank staff on the bank system and typing new off duties out and saving on the G drive

Checking and maintaining stocks of goods used on the ward also stationary working with the housekeeper regarding inputting of

Inputting of non-stock orders and working with supplies/stores.

Deal with incoming calls professionally ensuring confidentiality is maintain at all

Photocopying and faxing as required by nursing

Arrange patient appointments, chase appointments up, booking patient

To participate in yearly Individual Performance and Development Reviews with related quarterly appraisals, undertaking management supervision and ensuring completion of mandatory training.

To participate in the Rehab and High Support Administration Forum.

To work as an integral part of the Rehab and High Support Care Hub administration team, providing cover and assistance across the Hub as directed by the Administration Lead/Manager.

To report all adverse incidents, complaints or health and safety issues to the ward manager or nurse in
