Job summary

The Children and Young People's Division are looking to recruit an Admission Assistant.

We are seeking an enthusiastic and bright individual who enjoys working in a busy, friendly, multi-disciplinary team environment to support us in the delivery of a quality service. You will work collaboratively to provide full administrative services to our Paediatric & Adolescent children and young person's department at University College London Hospital. This is a permanent full- time role with working hours of 37.5 hours a week.

The successful candidate must have excellent customer service and communication skills, a high degree of empathy, diplomacy, and integrity. You will be required to demonstrate sensitivity; an awareness of patients' needs and a commitment to improving the patient experience.

As a member of our team, you will have high personal and professional standards and will seek to support those around you to deliver high quality services. This role will also be a cover role for all administrator coordinators within the Paediatric Adolescent and CYPCS Division

Main duties of the job

The postholder will be responsible for the following tasko Receiving and actioning referrals for Paediatric and Adolescent Patientso Book admissions and outpatient appointmentso Updating Epic (Trust patient system) with TCI (To come in) dateso Supporting Clinical team with any administration tasko Processing supporting MDT meetings.o Validating Patient Pathwayso Updating specialities databaseso Reviewing validation actioning Epic Reports and Work Queues

Knowledge and Qualifications

Essential

  • Educated to GCSE level or equivalent, with Grade C or above in English and Maths
  • Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment.
  • Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.

Desirable

  • NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.

Experience

Essential

  • Experience of working in a non- routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent).
  • Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.

  • Previous NHS experience, or experience of working in a healthcare setting.
