Job summary

An exciting opportunity has arisen in our Barnet Division admin team, for the position of Team Administration Manager based between Springwell Centre, Redhill Clinic and Dennis Scot Unit.

We are looking for an enthusiastic and experienced individual to lead our Administration teams. In this role you will be responsible for managing a team of staff across different teams, ensuring that day-to-day admin duties are overseen and completed within required timescale and to standards, ensuring development and training needs are met as well as supporting change within the admin team and offering support to the other Team Admin Manager and the Division Business Support & Admin Lead. You will have at least 2 years experience in managing a team as well as proven track record of being able to implement changes to process / procedures, SoPs and systems.

The successful candidate will need to have high levels of attention to detail, as well as excellent communication and organisational skills. Knowledge of Rio, E-rostering are required for this position. Knowledge of E-financials would be advantageous.

Main duties of the job

Duties and Responsibilities

1. Line management responsibility for Administrators / Team Leaders within your service.

2. To pro-actively oversee and manage all administrative functions ensuring that teams are resourced and work is allocated efficiently to avoid backlogs and issues are raised in advance so that plans can be put in place to mitigate risks of negative impact on patient care.

3. To monitor individual and team performance and make recommendations for improvement where required.

4. To provide admin and business support service as required including covering for the admin team when short staffed, typing of letters and reports, booking appointments and any other admin tasks and duties as requested and necessary to meet deadlines and avoid any risks to patient care.

5. Co-ordinate meetings, prepare agendas, take and transcribe minutes.

6. Produce reports, spread sheets and correspondence to a high standard, ensuring accuracy and good presentation at all times.

7. Communicate clearly and effectively, complex and often sensitive information to a range of staff, internally and externally across the organisation, service users, relatives/carers, and other stakeholders, where sensitivity, tact and persuasive skills maybe required.

8. Identify and develop changes to practices, procedures/policies and implement changes in own teams.

BEH manages the renowned North London Forensic Services (NLFS) which is the lead provider of forensic mental health services; that managed the devolved New Models of care budget, it delivers MH care across some of the prisons, and provides MH services as HM Young Offenders Institutions in Aylesbury.
