Haringey Mental Health Services for Older People

Part-time Band 4 Administrator

An exciting opportunity has arisen for a Part-Time (2.5 days) Team Administrator in the Mental Health Older Peoples Service based at St Ann's Hospital.

The successful applicant will use RiO patient information system; therefore, previous experience of this application would beneficial but not essential as training will be arranged.

Previous experience in a secretarial/administrative role within the NHS, or similar is desirable. You will have the ability to work under your own initiative as well as in collaboration with colleagues in a small team to meet deadlines. You will also have the ability to update and/or implement new systems in line with Trust and service requirements.

About us

The post holder will join a small supportive administrative team, supporting a busy multi-disciplinary team, providing high quality care to Haringey People's Service. The successful applicant will be based at the Victoria Unit, St Ann's Hospital in Haringey, a busy, multicultural area of London.

Job responsibilities

MAIN TASKS AND RESPONSIBILITIES:

Communication

  • To receive telephone calls and emails from outside agencies, deal with them if possible or refer on as appropriate.
  • To plan and coordinate your workload to ensure all deadlines are met and objectives achieved.
  • To provide a comprehensive secretarial service to the service / department.
  • Deal with correspondence on behalf of the admin manager when required.
  • To process office stationery and procurement orders

Patient/Customer Care (if applicable) (both direct and indirect)

  • Deal with issues that arise appropriately, including enquiries or complaints from members of the public and patients. Where appropriate refer or escalate to the admin manager, ensuring that no issue is inappropriately delayed in being actioned.
  • Ensure good working relationships with all staff across the organisation and external agencies.

People (HR) Management

  • Supervise junior team members
  • To undertake ongoing personal development through participation in appraisal and supervision, and participate in relevant training identified.

Policy Development

  • Ensure compliance with local policies and maintain accurate records.
