Job summary
We are seeking a confident, reliable and well organised and proactive administrator to join our innovative and dynamic admin inpatient/community forensic mental health team. Working closely with the Specialist Community Forensic Team Coordinator and clinical teams, your role will be integral to them running successfully and will be a vital role across the Inpatient Forensic admin team.
You will need a working knowledge of all key IT systems and possess excellent interpersonal and communication skills, a good eye for detail and be a true team player. The ability to organise and prioritise work under pressure so as to meet strict deadlines is an essential feature of this job.
The service is part of North London Forensic Service (NLFS) which is part of Barnet, Enfield and Haringey Mental Health NHS Trust and is rated Outstanding by the CQC.
Main duties of the job
- You will be required to use your initiative in all aspects of secretarial and clerical work to efficiently prioritise work and meet deadlines, as the service line requires.
- Your duties will encompass regular liaison regarding the keeping of the appointments diary typing of letters and reports, taking and transcribing minutes at meetings as necessary, telephone liaison as necessary with external agencies and making appointments at the request of the service. You will assist in the maintenance of records, filing, faxing and photocopying and any duties essential to the comprehensive secretarial support service you will provide.
- To supervise a high quality reception service for all who access the Trust services, and to take responsibility for all aspects of the smooth running of the service(s).
- To line manage junior administrative support staff as required.
- To receive telephone calls and emails from outside agencies, deal with them if possible or refer on as appropriate.
- To plan and coordinate your workload to ensure all deadlines are met and objectives achieved.
- To provide a comprehensive secretarial service to the service / department.
- Deal with issues that arise appropriately, including enquiries or complaints from members of the public and patients. Where appropriate refer to another officer of the trust, ensuring that no issue is inappropriately delayed in being actioned because of the absence of the management team.
