Job summary

To support Head and Deputy Head of Imaging and Clinical Service Support Manager with any day-to-day operational issues and to ensure that services are running effectively and efficiently and meeting national access targets

Main duties of the job

The post holder will undertake and successfully complete a 2-year Level 6 Apprenticeship in Operational Management

To provide day-to-day operational management support to the clinical Service leads with the aim of ensuring from a non-clinical perspective the department is running effectively and efficiently and meeting national access targets.

To provide administration support and cover to the Clinical Support Service Manager (CSSM) as appropriate

To supporting Head of Imaging and clinical team in the developing services in accordance to their clinical strategy. This will include Clinical Service leads, Consultants, Matrons and Head of Nursing

To support the development Quality Standards for Imaging (QSI) and Quality Improvements Plans (QIP) implementation of service improvement as appropriate and general development of services. You will play a key part in supporting change and help clinical teams plan and review care pathways.

Working closely with the Patient Access Team ensuring appointments/admissions are booked in a timely manner against the KPIs attached for service specific pathways.

Job description

Job responsibilities

PROFESSIONAL

Be responsible for identifying and resolving day-to-day management issues within the Service.

The post holder will possess comprehensive knowledgebase around national RTT (referral to treatment) and diagnostics wait targets.

The post holder will have proficient working knowledge on a range of MS office software which they will use to extract complex patient level data from the PTL (patient tracking list) and analyse these data with the use of various analytical models i.e. Pivot table, Demand & Capacity model, Statistical Process Charts

The post holder will be responsible in highlighting key RTT performance information for each clinical service to CSM / CSSM.

The postholder will be responsible in cascading the key patient pathway information from the PTL to all secretarial teams to ensure patient pathways are up to date on the patient administration system.

Support and direct administration teams to identify areas of mismatch between demand and capacity and work with your team to ensure these are resolved.

Responsible for the compliance and accuracy and maintenance of both local service data systems and the services performance with the Trust wide information system such as PAS (Patient administration system) and Ulysses risk management portal.

Jointly with the Clinical Support Services Manager to ensure all requests for outpatients clinic cancellations or reductions are approved in a timely fashion via top desk and raising any concerns with the services manager regarding capacity.

Work with Head of Imaging & CSSM to manage and monitor performance to ensure the services meet their financial and operating targets.

Identify cost pressures, service development and quality improvement plan and support CSM in developing business cases to meet service requirements.

Manage a delegated non-pay budget within the service ensuring that expenditure is within agreed limits and that the Service manager remains informed of related issues. This would include signatory responsibility for requisition and authorising signature for ordering, up to the amount of £500.00.

Take lead on specific quality improvement plans by ensuring they are delivered as agreed

CLINICAL

This is a non-clinical role.

PEOPLE MANAGEMENT

Provide day to day supervision and support to divisional medical rota coordinator and address any individual training and development needs to promote continued personal and professional development.

Take responsibility for the appraisal, performance management of the medical staff coordinator.

Support the divisional medical rota coordinator and ensure systems in particular the Junior Rotas and Allocate electronic leave systems are up to date to improve communication, gather feedback and actions any issues.

Deputies for the Clinical Service Support Manager as requested for annual leave cover.

Support Clinical Support Services Manager in managing annual leave, sickness, disciplinary and performance issues in line with Trust policies and the effective delivery of service, this will include secretarial staff with the Division.

Contribute to workforce plans which anticipate service changes and developments and which address recruitment, retention and workforce supply issues.

Support Clinical Support Services Manager in resolving pay and contractual queries in liaison with human resources for administrative and medical staff.

Support conflict resolution from patients, staff, suppliers, other internal and external service providers and partner organisations in the Service.

Ensure that all appraisals and appraisal / personal development plans and Mandatory training are undertaken to ensure services meet the corporate targets.
