Job summary
The Personal Assistant/Admin Manager is responsible for managing, organising and providing an efficient and effective administrative and Secretarial support service to ensure the smooth running of the Estates and Facilities department at Buckingham Row.
The postholder will assist the Director of Estates and Facilities in project work and provide a wide range of administrative support to the Division.

Main duties of the job
Act as first point of contact for all communications to the Director of Estates and Facilities and deal with all such communications appropriately.
Responsible for typing building and engineering survey reports, memos, letters and minutes of meetings, presentation documents and updating of correspondence and reports promptly and accurately from hard copy.
Manages own workload and work on own initiative without direct supervision, address queries and reply to routine correspondence that would otherwise have to be handed to the Director of Estates and Facilities.
Deal with telephone enquiries in a clear and pleasant manner by using own initiative or redirecting to appropriate staff.
Prepare and compile appropriate responses on behalf of the Director of Estates and Facilities.
Ensure flexible working with the other staff to maintain an efficient, effective and responsive service, especially in times of absence i.e. annual leave and sickness absence.
Facilitate the effective use of the Director of Estates and Facilities time by managing and adjusting conflicting diary appointments. Ensuring information required is available.
Arrange meetings; agree agendas and minute take at meetings with the Director of Estates and Facilities and prepare/distribute relevant information. This could include minute taking at Disciplinary and grievance hearings.

Assist the Director of Estates and Facilities as necessary to ensure all services provided are fully patient focused, devise and implement arrangements to regularly test and measure service users satisfaction.
Responsible for the distribution of circulars and other management information to Estates and Facilities managers.
Manage and monitor the Estates and Facilities Management Teams records/information and rotas associated with annual leave, sickness absence onto the ESR system.
Complete monthly SVL sheets for Estates and Facilities staff overtime and submit to Finance by deadline date.
