Job summary

The Sleep Medicine Department is seeking a highly motivated individual to join our Administration team. The successful candidate will act as first point of contact for many of our patients attending their first appointment for sleep diagnostics, as well as those well established on long term treatment collecting replacement equipment. Applicants should been keen to join an evolving service which has benefitted from Community Diagnostic Centre funding and is on course to complete in excess of 3000 sleep diagnostics this year. This is in addition to managing over 4000 active users of Continuous Positive Airway Pressure (CPAP) for Sleep Related Breathing Disorders.

Main duties of the job

The main day-to-day roles will include answering queries and forwarding messages to appropriately trained staff where required, arranging collection and postal deliveries of CPAP user consumables and supporting the collection of sleep service equipment. You will keep up to date records of any communication including on our web based Telemonitoring platform. You should have proficient IT skills including Microsoft Excel and be able to undertake a variety of administration duties including photocopying, scanning, filing and booking appointments. You will assist in the decontamination of returned equipment following appropriate guidelines and using personal protective equipment (PPE) provided as well as maintaining stock levels across the department.

Job responsibilities

  • Act as first point of contact for all telephone and reception enquiries, ensuring that messages are forwarded to the appropriate persons and visitors are welcomed to the department.
  • Provide an effective clerical service to support the team, including photocopying, data input and posting out of equipment.
  • To book all patient follow-up appointments in accordance with clinic rules and deal with enquiries from the general public and other disciplines of staff regarding clinic bookings.
  • To be responsible for the recording of all clinic outcomes and other information within agreed deadlines.
  • Effective liaison with multi-disciplinary team ensuring accurate information is communicated as and when required.
  • Deal with walk-in patients to clinic and assist members of the medical and nursing staff with any queries during the course of the clinic.
  • Provide outpatient clinic lists and booking summaries for nursing staff.
  • Contribute to the ordering of stationary supplies and associated procedures.
  • Contribute towards service improvement initiatives to enhance quality of patient care.
  • Assist in maintaining equipment and decontaminating in accordance to Infection Control.
  • To provide any other duties that may be required relevant to this grade.
