We are looking for an Administrative Assistant to join our BeeU Mental Health Services situated in Severn Fields, Shrewsbury. BeeU provides emotional wellbeing and mental health services for Children and Young People (0-25) in Shropshire, Telford and Wrekin. We also provide neurodevelopmental assessments for children: Autism (ages 5 to 18) and ADHD (ages 6 to 18).
The post holder will be working as part of a team along with other Administrative Assistants and Medical and Clinical Administrators. The post holder will be expected to be able to use their own initiative and judgement, although they will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the community teams.

Main duties of the job
Our Administrative Assistants are an integral part of our Admin Team. The role is busy, challenging and rewarding. We are currently looking for an Administrative Assistant working 30 hours, across 4 days (Monday, Tuesday, Thursday & Friday) supporting the BeeU Mental Health Services.
What will the role entail?
- Provide a welcoming and efficient reception area and a proficient administrative service.
- Use a variety of electronic systems on a regular basis such as MS Office (Outlook, Word, Excel), MS Teams, Patient Administration System (RiO), Winscribe Digital dictation and the Cisco Telephony system.
- Utilise the patient administration system (RiO) daily, keeping accurate records such as booking of appointments, clinic letters, prescription queries and outcome letters.
- Confidently handling and prioritising complex telephone queries of a challenging/sensitive nature.
- Concise & accurate message taking.
- Using own initiative to proactively resolve problems.
- Administrative tasks such as photocopying, scanning, uploading documents and other tasks required for service need.
- Support the team in carrying out admin work requests via the centralised admin email inbox.
- Prioritise and screen incoming correspondence ensuring it receives appropriate attention and is distributed to the correct Team/person.
- Work in conjunction with other administrative team colleagues to ensure adequate office cover is in place.
