The
Transplant and Cellular Immunology Laboratory, situated at St Jamess
University Hospital in Leeds, is seeking a talented and enthusiastic
laboratory/patient pathway coordinator.
The
Transplant Assessment and Relative Opportunity Tool (TAROT) is a novel
approach to guiding difficult to transplant patients through the pathway with
the intention of increasing transplant opportunity; this programme requires a
pathway coordinator to support its successful implementation and ongoing
operation.
The
successful candidate will provide the administrative support to the
laboratory and clinical teams involved in the complex immunological
interventions that comprise TAROT.
Main duties of the job
Duties
will include:
Being the main point of contact
between the clinical teams (primarily the renal transplant coordinators) and
the laboratory team:
o
Attend regular coordinator meetings to align priorities
o
Respond to simple results queries
Ensure laboratory results are
updated on relevant information management systems.
Attend Complex Immunology MDT
meetings to record notes and outcomes.
Monitor and maintain the renal
registrations administrative workload proactively chase results and ensure
the right samples have been received.
Respond to senior staff requests
for data gathering, audits and ad hoc projects related to the patient pathway
Assist in the creation of a TAROT
core dataset and data management pathway

Transplant Immunology Laboratory provides scientific support to all of the
transplant programmes operated by Leeds Teaching Hospitals. The team works
very closely with clinical teams across the Trust to ensure our patients are
transplanted safely and effectively.

JOB
PURPOSE/SUMMARY
To
provide a comprehensive secretarial/administrative service to the Transplant
Immunology team in support of the TAROT programme. The successful applicant will be able to
work flexibly and be able to adapt to the changing demands within the team.
The post holder must be able to communicate sensitively and effectively with
a wide range of people including patients, , medical staff, co-ordinator
teams nationally and the wider multi-disciplinary team. The postholder will
be required to understand the key features of the co-ordinator role and
scientific roles and understand the imperative need for confidentiality and
discretion at all times.
The
potholder will be based at St Jamess undertaking administrative
responsibilities in support of the laboratory and co-ordinator teams, as
outlined below. The postholder will be required to understand the key
features of the donor co-ordinator, live donor co-ordinator and renal
recipient co-ordinator role as well as laboratory interactions across both
teams. The postholder will also be required to have an understanding of the
procurement and transplant aspects of the role, approx. 60 donors per year and
240 transplants per year. Exercise safe keeping of office equipment,
including sensitive data held on the computer, any all other equipment used.
PRINCIPAL
DUTIES & AREAS OF RESPONSIBILITY
Providing a full secretarial and
administrative service to the laboratory team in support of the TAROT
programme, including filing, typing, photocopying, distributing information
and use of internal and external email.
Organising and prioritising
workload
Setting up and monitoring of office
systems and structures, liaising with other members of the team
Diary management of laboratory
workload
Organising meetings and appointments locally and nationally
Acting as an ambassador for the
department in communicating on the telephone and in person with staff at all
levels in the Trust and with outside agencies in a professional and competent
manner
Setting up databases and updating
information e.g. renal patient pathway database. Liaise with nursing team in
Hull, Braford, York and the LTHT to ensure accuracy.
Maintenance of the laboratory TAROT
information management systems
Preparation of statistics for the
co-ordinator and laboratory teams
Attend team meetings and take
minutes
Maintaining office systems and equipment & ordering and replacing
stationery as needed
Providing support as necessary to
the laboratory team
To respond to written and telephone
enquiries in a polite and helpful manner, prioritising messages and taking
responsibility for any follow up action
To be the first point of contact
for transplant co-ordinators who make queries about transplants. The post
holder will be processing highly sensitive information throughout a large
part of their day. An ability to be empathic will be an asset to this post.
Attendance of multi-disciplinary
team meetings (adult and paediatric), take minutes and ensure necessary
follow up in conjunction with the co-ordinators and maintenance of accurate
records
