Job summary

Permanent position to work 37.5hrs per week, covering a 7-day service-flexibility will be required with working patterns

J98 is 24 bedded Gynaecology Ward, which also cares for non-surgical oncology and medical patients

The ward clerk is pivotal to the smooth running of the patients journey and is often the first point of contact for patients and visitors.

The role includes arranging admission, discharge, appointments and general communication between patients, wards and departments The role is also crucial in supporting the nursing team and is a highly valued role. The team on J98 promotes a friendly working environment.

Main duties of the job

The role of the ward clerk includes answering the phone and responding to phone queries, this may require support from the nursing team or basic problem solving.

The role is heavily computer based using systems such as PPM, Order comms and CARPs. There is a lot of communication between patient/family and the ward clerk on this ward therefore confidence in talking to families and supporting families with their queries or signposting is invaluable. The ward clerk is responsible for ordering and replenishing important items such as paperwork, in addition the ward clerk prepares the necessary paperwork and requests for admissions and discharges.

Organisational skills are imperative in this role

About us

J98 is a gynaecology ward which also cares for non surgical oncology and medical patients. J98 is part of the oncology CSU.

J98 is managed by a senior sister, supported by 3 junior sisters and a host of staff nurses and clinical support workers. Learners are also a valuable part of the ward.

The role of ward clerk is pivotal to the smooth running of the ward. J98 is a busy ward where team work is essential to delivering safe effective patient care.

Job responsibilities

JOB PURPOSE/SUMMARY

To undertake administrative duties at ward level including the accurate and timely recording of patient activity data on Trust systems. To undertake clerical and related duties on the ward and enable Sister/Charge Nurse and other ward staff to concentrate more freely on direct patient care. This role will involve considerable liaison with other departments and wards on behalf of the ward staff.

The jobholder will contribute to the maintenance of an environment for effective care.

The jobholder will work within an area caring for 24 patients.

PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY

Administrative and Clerical Duties

- Record admission, transfer and discharge activity data onto the Trust PAS system.

- Arrange patients follow-up appointments using the PAS system and order transport for patients when required.

- Record changes to the bed base and inform the relevant corporate team

- Handle telephone calls from relatives, hospital staff, public etc, under guidance where necessary from the Sister/Charge Nurse, and making calls where appropriate on behalf of ward staff.

- Ensure that patients medical records (including x-rays) are available on the ward, obtaining these where necessary from other departments.

- Transfer pathology and other reports to patients records, and general collation of records promptly and efficiently, especially on patients discharge.

- Deliver patients mail.

- Order stationary and complete requisition forms under instruction from Sister/Charge Nurse.

- Complete electronic admission/bed system as required

- Maintaining records on behalf of Sister/ Charge Nurse.

Assisting to maintain high standards of care

Assist in the welcome and reception of patients and visitors into the clinical area

Maintain a safe working environment, reporting incidents, accidents, complaints

Understand the need to maintain and respect patient confidentiality

Participate in in-service training

Participate in mandatory training annually

Participate in annual performance appraisal

Undertake duties on different wards/depts as and when required by service demands

Develop good working relationship

Participate in appropriate and relevant communications networks

Ensure the maintenance of good relationships, communications and teamwork with all disciplines within the ward / department
