Job summary
We
have an exciting opportunity for three individuals to join our Team as
Medical Deployment Officers working within a Medical Deployment Team
providing a quality medical deployment service within Leeds Teaching
Hospitals NHS Trust.
The
role will involve managing Resident doctor rota gaps on the electronic
rostering system, recording of resignations, updating of swaps, absence, and
sicknesses and booking Internal Bank and external Agency doctors as requested
by medical departments.
Applicants
will need excellent communication skills, be highly organised and have the
ability to meet deadlines. The post holder will be required to work
independently and, in a team, as well as collaboratively with other
departments. The post host will be required to have a positive attitude to
maintain high standards with attention to detail and accuracy at all times.

Main duties of the job
The
successful candidate will support designated Clinical Service Units (CSUs)
with the rostering of Resident Doctors:
Ensure that electronic rostering system has the correct rota templates
against each roster.
Upload Resident Doctors to the electronic rostering system and adhere to
national rotation timescales stipulated in the Resident Doctor Contract 2016
Work with CSUs and individual resident doctors to co-ordinate Less Than Full
Time working patterns and plan appropriate service cover in accordance with
Resident Doctor Contract 2016.
Manage real time of resignations, swaps, sickness and absence recording on
the e-rostering system
Analyse the e-rostering system to identify and monitor breaches of safe
working hours, escalating and identifying alternative solutions.
Work closely with Rota Co-ordinators to coordinate, run and publish rosters
in line with rotation timescales.
Use bank/agency systems to co-ordinate bookings for internal and external
medical locum and agency staff promptly and effectively
The post holder will provide and
receive complex information relating to medical staff working patterns,
interpreting and validating rules, terms and conditions of the Resident
Doctor Contract 2016 and fulfilling reporting requirements to other NHS organisations
e.g. NHSI for example 48 hour and 72-hour breach report.

The

implementation of medical workforce projects, including for example temporary
medical agency utilisation and the deployment of medical workforce using
e-rostering/bank systems.

DIMENSIONS
To
work within a Medical Deployment/Bank Office team to provide a quality

including securing the recruitment of medical bank staff and temporary
staffing solutions in conjunction with senior medical staff.
Additionally,
the post holder will manage rota gaps alongside the Medical Deployment
Assistant, this will include advertising out medical locum gaps through the
methods messaging, emailing and phone calls and coordinating the recruitment
of medical bank staff.
KNOWLEDGE,
SKILLS AND EXPERIENCE REQUIRED
Significant administrative
experience, preferably in the NHS or similar complex organisation.
Knowledge and awareness of good
practice in administrative processes associated with the recruitment and
deployment of staff, including employment checks.
Have a working knowledge of medical
staffing employment practice and Resident Doctor Contract 2016
Ability to communicate with staff,
medical staff, and managers at all levels.
Effective and adaptable
interpersonal and influencing skills including negotiations skills and an
ability to remain calm in tense situations.
The post holder must possess
excellent communication skills and be able to deal with staff using tact and
diplomacy. The post holder will have experience of working in a customer
focussed and facing environment and be experienced in dealing with matters of
a confidential nature.
Advanced keyboard skills - able to
produce professional letters, spreadsheets, reports etc.
Able to analyse and assimilate
information relating to staff rotas as a basis for identifying and resolving
potential problems.
Have sufficient knowledge of
Healthroster/Bankstaff within 6 weeks on entry to post to enable the
production of non-routine reports.
Have the capacity to prioritise
their workload, work towards and meet challenging timescales as set by others
and organise own workload.
Previous experience of providing
supervision and support to junior team members.
Proven experience of taking
accountability and responsibility for decisions they have made.
