Job summary

**This is a fixed term position which is currently vacant until April 2025, this is subject to change**

The post holder will work within a site based medical workforce deployment office (SJUH) to deliver the Medical Workforce Strategy through the implementation of medical workforce projects, including for example temporary medical agency utilisation, deployment of medical workforce using e-rostering/bank systems.

The post holder will need to be able to communicate information effectively, concisely and accurately in a constantly changing environment.

The post holder will be expected to work autonomously within their own area, seeking guidance from the Medical Workforce Manager/Lead as required. They will participate in the delivery of both national and local Medical Staffing and Human Resource strategies in relation to medical staff. Provide support the Divisions in achieving their business objectives through the fair and effective management of medical staff.

Main duties of the job

The post holder will be responsible for supporting the Medical Workforce Manager in the delivery of the Trusts Medical Workforce Strategy. They will provide day to day administrative support to the Medical Workforce Manager/Lead and maintain reporting and monitoring systems to allow ease of access to all aspects of Medical Workforce work. Provide meeting administration which includes arranging, taking minutes and following up actions.

The post holder will assist with or lead in the development of documentation and information relating to Medical Workforce work programmes/ projects from within LTHT and from the wider NHS, for example project plans, communication plans, risk and issues management. They will maintain information relating to Medical Workforce work programmes/ projects and produce up to date reports for Clinical Service Units and Corporate teams.

Additionally the post holder will contribute to supporting the Trusts wider Medical Staffing agenda. This will include undertaking activities related to medical workforce deployment. They will be required to deal with a wide range of employment related queries from staff and managers, prospective and successful candidates relating to medical recruitment, and the Deanery.

The successful candidate will support designated Clinical Service Units (CSUs) with the rostering of Resident Doctors:

Ensure that Healthroster has the correct rota templates against each roster.

Upload Resident Doctors to Healthroster, adhering to national rotation timescales stipulated in the Resident Doctor Contract 2016.

Work with CSUs and individual resident doctors to co-ordinate Less Than Full Time working patterns and plan appropriate service cover in accordance with Resident Doctor Contract 2016.

Manage real time of resignations, swaps, sickness, and absence recording on the e-rostering system.

Analyse the e-rostering system to identify and monitor breaches of safe working hours, escalating and identifying alternative solutions.

Work closely with Rota Co-ordinators to coordinate, run, and publish rosters in line with rotation timescales.

Use bank/agency systems to co-ordinate bookings for internal and external medical locum and agency staff promptly and effectively.

Applicants will need excellent communication skills, be highly organised and can meet deadlines. The post holder will be required to work independently and, in a team, as well as collaboratively with other departments within the organisation. The post holder will be required to have a positive attitude to maintain high standards with attention to detail and accuracy at all times.
