We are seeking a well-organised, enthusiastic, and positive individual to join the Ophthalmology Outpatient Department as a Clerical Officer. The post holder will provide comprehensive clerical and administrative support to the nursing, medical, and wider multidisciplinary teams, contributing to the safe and efficient running of a busy outpatient service.

The Ophthalmology Outpatient Department is the busiest outpatient department within the Trust, seeing on average over 300 patients per day over 2 hospital sites (sT James Hospital and Seacroft Hospital). This is a part-time position of 21.5 hours per week, requiring flexibility and the ability to work effectively within a fast-paced clinical environment.

Main duties of the job

The Clerical Officer will act as a key point of contact for Eye Casualty and outpatient clinics, answering the dedicated Eye Casualty extension, managing patient enquiries, and appropriately relaying urgent messages to the nursing and medical teams. The role includes organising, booking, and amending patient appointments using PAS, ensuring clear communication with patients and clinical staff.

In addition, the post holder will undertake a range of administrative duties, including organising patient transport for patients attending Eye Casualty via one-way transport and actively following these up to ensure patients are collected in a timely manner. The role requires maintaining an overview of the clinic environment, including ensuring adequate levels of stationery and clinical paperwork across all rooms, organising the clinic store room, and ordering supplies when required. This will be undertaken in close collaboration with the Charge Nurse to ensure appropriate stock levels are maintained.

The Ophthalmology Department lies within the Head and Neck Clinical Service Unit at Leeds teaching Hospital Trust. It is the largest provider of specialist Ophthalmology services in the Yorkshire region and provides a specialist ophthalmology service for patients in Leeds, Yorkshire and from across the north of England. We strive to work as a team and be the centre of excellence, putting our patients at the centre to deliver patient focused care. Support clinic preparation by printing clinic lists, preparing notes, and ensuring clinics are appropriately set up.

Liaise closely with nursing staff, clinicians, and management to ensure effective clinic flow and minimise delays.

Maintain confidentiality and data protection standards at all times in line with Trust policies.

Undertake general administrative duties such as filing, scanning, data entry, and correspondence.

Work flexibly across sites as required to meet service needs.
