Job summary

We are looking for a well organised, enthusiastic and positive person to provide clerical support to our dedicated team of nursing staff within ward J25 which incorporates the Ophthalmic Day Unit and Ophthalmic Pre-assessment at St Jamess Hospital.

Ward J25 is a busy Ophthalmic Day-case Unit that has Ophthalmic Pre-assessment attached to it. It has a high volume of patients that pass through it each day and can be fast paced at times. Brief duties include the use of the PAS system, taking phone calls, booking follow up appointments for discharged patients plus ordering stock for the ward and pre-assessment area. You will also be expected to assist in the preparation of notes for patients going to theatre and the printing of theatre lists once full training has been given.

This is a part-time post so the successful candidate will be expected to be flexible as the area is open Monday to Friday. J25 is closed nights and weekends.

The post-holder may be the first point of contact for patients and other visitors to the department therefore you should have excellent communication skills, have a friendly and welcoming disposition, enjoy meeting a wide variety of people and have the ability to work on your own initiative as well as part of a team.

The Ophthalmology Department lies within the Head and Neck Clinical Service Unit at Leeds teaching Hospital Trust. It is the largest provider of specialist Ophthalmology services in the Yorkshire region and provides a specialist ophthalmology service for patients in Leeds, Yorkshire and from across the north of England. We strive to work as a team and be the centre of excellence, putting our patients at the centre to deliver patient focused care. Job responsibilities

To undertake administrative duties at ward level including the accurate and timely recording of patient activity data on Trust systems. To undertake clerical and related duties on the ward and enable Sister/Charge Nurse and other ward staff to concentrate more freely on direct patient care. This will involve considerable liaison with other departments and wards on behalf of the ward staff.

Administrative and Clerical Duties

- Record admission, transfer and discharge activity data onto the Trust PAS system.

- Arrange patients follow-up appointments using the PAS system and order transport for patients when required.

- Record changes to the bed base and inform the relevant corporate team

- Handle telephone calls from relatives, hospital staff, public etc, under guidance where necessary from the sister/Charge Nurse, and making calls where appropriate on behalf of ward staff.

- Ensure that patients medical records (including x-rays) are available on the ward, obtaining these where necessary from other departments.

- Transfer pathology and other reports to patients records, and general collation of records promptly and efficiently, especially on patients discharge.

- Order stationary and complete requisition forms under instruction from Sister/Charge Nurse.

- Complete electronic admission/bed system as required

- Maintaining records on behalf of Sister/ Charge Nurse.
