Job summary

The post holder will assist the administration management team in the co-ordination, organisation, and management of administrative aspects of the Referral & Booking Management Centre focusing primarily on the Outpatient multiple team recruitment, induction and ongoing training. Responsible for patients referred to the Trust, ensuring the provision of an effective referral and booking process to support several business units and clinical teams.

The successful applicant will be given specific training in all areas and follow an in-house training program that will equip them to become an integral part of the Administration Team.

A flexible and forward-thinking approach is needed to ensure the department meets the challenges of the constantly developing healthcare environment, with a focus on digital ways of working.

Main duties of the job

The main duties covered in the role include:

  • To be responsible for the day-to-day supervision and induction of staff within the Referral & Booking Management
  • Monitor the induction and training of new members of staff.
  • Work with the Assistant Manager to allocate workload to team and plan weekly staff rota's.
  • Running a number of daily and weekly reports and checking that workloads have been actioned.
  • Support the Assistant Manager with Appraisals and ensure Core Skills for admin staff are up to date.
  • Supervise the daily activities undertaken by staff and ensuring accurate data input into systems.
  • Manage own workload by prioritising tasks accordingly in order to meet targets and deadlines .
  • Ensure that an effective and efficient service is provided to meet the needs of clients, patients and staff and other stakehlders.
  • Ensure compliance with Trust policies and procedures and all departmental work procedures .
  • Acting on any potential breaches and escalating to Assistant Manager/Manager/Waiting List Managers where appropriate.
