Job summary

An exciting opportunity has arisen for a band 4 administrator to work full time in the Richmond Community Older Peoples Service across the Memory Assessment Service and the Recovery Support Team. This is an opportunity to be part of a dynamic multi-disciplinary team that assesses all referrals for old age adults with mental health needs and resident in the borough of Richmond.

We are looking for a self-motivated and flexible administrator, with excellent interpersonal skills, to join our well-established multidisciplinary team, which is committed to providing the highest quality of service to older people in Richmond.

We are looking for an enthusiastic, positive, motivated, and highly committed individual with good communication skills, who can work with us to support the work of this vibrant team.

Main duties of the job

The successful applicant will have relevant educational and administrative experience of working within a team and ideally within a Mental Health Team. The applicant will have excellent administrative and Communication skills, as there will be times when they will be expected to be the first point of contact, on reception, for the people that use our service and families/carers and visitors to the clinic. They will need to be able to deal with multiple telephone enquiries from patients and respond sensitively and with compassion. The applicant will have the ability to prioritise work, be able to work autonomously and confidently, be able to work flexibly to meet the needs of the Multi Disciplinary team of the wider service and demonstrate motivation in the fast-paced setting of the work environment.

Job responsibilities

The postholder will work closely with the team manager, doctors, and multidisciplinary team to cover all administrative work in the team. They will be able to act autonomously to identify and raise concerns including urgent/emergency situations and escalating to the Team Manager or Consultant as appropriate.

They will provide administrative and secretarial service to the team. This is a pivotal role to ensure the smooth running of the service and responsibilities will include using computerised information systems, collating statistics and returns as required by the Trust, word-processing, developing and maintaining filing systems as well as being first port of call (usually by telephone) for patients, relatives/carers, and other professionals.

The post holder should be capable of working within a busy and demanding environment, have excellent communication and listening skills, including dealing with staff/visitors of all levels whilst maintaining a high level of confidentiality.

To be able to work flexibly and cover for other colleagues in their absence

Demonstrate the skills to communicate information to service users and carers in an empathetic and supportive way.

To liaise with professionals/ agencies and ensure the patient receives continuity of care/ service through clear and timely communication with all involved in their care.

To attend MDT meetings as required for service.
