Medical Revalidation & Governance Administrator

2 days p/w (15 hours)

We are looking to recruit an experienced administrator to join the Trust's Appraisal & Revalidation team. This role can be worked flexibly, including remote working, with occasional meetings in person at Springfield Hospital. The post-holder will work alongside the Medical Appraisal & Revalidation Lead and the Trust's Responsible Officer, as well as the Medical Staffing team.

Applications are invited from experienced administrators who are keen to move into medical governance work in a mental health setting. Informal enquires are welcomed and encouraged.

Main duties of the job

The main role of the Medical Revalidation & Governance Officer is to co-ordinate and provide administrative support to the appraisal and revalidation processes.

In particular, the post holder will oversee and maintain the appraisal and revalidation records/electronic data system, ensure that the systems are in place and available to those requiring them and that are held securely. Regular quality control checks will be undertaken to ensure the appraisal documentation submitted meets the agreed standards. The post holder will maintain a database of trained appraisers to ensure that there are sufficient numbers to meet the needs of the medical workforce. The Medical Revalidation & Governance Officer will provide quarterly performance reports to the AMD for A&R outlining appraisal activity. The post holder will ensure that the information on each doctor's practice is made available to them in a timely manner.

KEY RESULT AREAS:

The post holder will meet regularly with the AMD for A&R and Deputy MD to monitor and manage the revalidation and appraisal processes

Provide support to the AMD for A&R and Deputy MD in quality control systems required for medical appraisal, carrying out timely and accurate information analysis and reporting and present findings in an agreed manner.

Maintain administrative and information resources, reporting systems and databases for internal and external assessment of medical revalidation. Provide to information the medical appraisal team on process and statistical information matters.

Support and inform the requirement and targeting of resources, monitoring, implementing and evaluating jobs and delivery of associated financial plans by providing high quality information and analysis on the medical appraisal process, targets and outcomes.

Contribute to the efficient delivery of the medical appraisal systems / processes, ensuring it is delivered on time.

Support and contribute to the development of key performance indicators for the successful assessment of performance for medical revalidation

Draw up agendas and take minutes for the six-monthly Medical Professional Governance meeting.

Draw up agendas and take minutes for ad hoc meetings of Medical Appraisers.

Draw up agendas and take minutes for the monthly Revalidation Decisions Group meeting.

Contribute to effective information management and governance within the team

Ensure that all appraisals are planned, agreed and recorded on L2P system

Chase up late appraisals

Support the AMD for A&R to ensure regular monthly reviews and update the GMC Connect database of doctors registered with the Trusts RO for revalidation

Carry out monthly reconciliation of names with Medical HR records (starters, leavers honorary appointments, etc) and the L2P system

Collate and respond to enquiries from doctors submitted to the revalidation@swlstg-tr.nhs.uk email address concerning appraisal and revalidation in a timely manner

Be the first point of contact between the Trust Revalidation Team and the L2P Support Team which provides the IT system to support revalidation within the Trust

Liaise with Deputy MD and AMD for A&R to ensure that revalidation decisions are made in accordance with agreed GMC schedules.
