Job summary

We have an exciting opportunity to be part of a friendly, dynamic team of administrators and clinicians based at St Leonard's, where you will be the first person that patients predominantly attending physiotherapy appointments will meet.

You will be part of making a difference to patients in pain, signing patients into their appointments, organising new appointments and solving problems.

You will also gain valuable administrative skills in a department committed to professional development.

In busy reception area, you will bring outstanding customer service skills and play a key role within our department.

Main duties of the job

JOB SUMMARY:

o Provide frontline service to the Locomotor Service Departments at St Leonards, undertaking the day to day running of the Therapy Outpatient Service reception desk.

o Communicate face to face and on the telephone with the general public and health care staff within and outside the hospital.

o Be responsible for the daily administration of the computerised booking systems.

o Be able to problem solve issues relating to patient appointment and filing systems.

Job responsibilities

RESPONSIBILITIES:

Provide a frontline service to arriving patients, staff and relevant visitors, redirecting people to other departments as required.

Registering referrals on to databases, scheduling new and follow up appointments ensuring the correct allocation of patients to Therapist or group.

Arrange services for patients to enable them access to their appointment. This could include arranging transport or advocacy services.

Distribution of incoming letters to appropriate staff members. Ensuring that urgent referrals, enquires, and letters are dealt with promptly.

Provide guidance to volunteers who support patients in reception area

Deal effectively with patients who maybe angry, upset, or anxious according to Trust and Department procedure. Effectively manage problems as they arise at reception, informing other staff members of potential difficulties.

Liaise with other hospital departments.

Giving appropriate information required by the general public, and other health professionals.

Answering telephone enquiries promptly and passing on accurate messages either verbally or in writing to the relevant people.

Inducting new staff to reception desk systems, giving feedback to the staff members supervisor if any concerns arise.

Receiving goods and alerting appropriate staff to any problems.

Print and send a range of letters to patients and referrers.

Uploading dairy sheets for reception and individual therapists ready for next day clinics.

Accurately maintain filling systems, ensuring confidentiality.

Cancel and rebook appointments by telephone if therapists are on sick leave or other unplanned leave.

Assist senior administrators in contacting patients and filling appointment slots

Assist senior administrator in validating waiting list

Input data such as patient feedback or statistics into forms that have been prepared for you
