Job summary

An exciting opportunity has arisen for a dynamic, forward-thinking administrator to work with ACRT.

The post holder will be able to work independently and as part of a team. They will be responsible for organising, managing, and developing administrative support within the Adult Community Rehabilitation Team.

The post holder will answer telephone calls in a timely and appropriate manner, passing on accurate messages as well as dealing with queries from clients, carers, families and health & social care professionals.

The post holder will provide robust administration support to the clinical teams made up of occupational therapists, physiotherapists, speech & language therapists, dietitians, psychologists and rehabilitation support workers.

The post holder will be working in a challenging socio-economic environment involving clients who have highly complex social problems and those from culturally diverse backgrounds.

The post holder will be talking to clients who live with a range of long-term conditions that may impair their memory, hearing and ability to communicate clearly.

Main duties of the job

  • To take a lead in day-to-day management of allocated administrative tasks related to the Adult Community Rehabilitation Team and provide ongoing administrative support to the team
  • To independently record accurate minutes for team meetings and to ensure that this is disseminated through the team.
  • Manage and maintain the integrity of the computerised patient database system in conjunction with other administration staff in the team.
  • Provide support and advice to the clinical team on best administrative practice in a range of situations.
  • To communicate effectively (both verbally and nonverbally) with clients where there will often be barriers to effective communication e.g. language problems, cultural differences, loss of hearing, pain and fear.
  • Induct new members of the team to the administration systems, being perceptive to individual needs. Attend training and other meetings that enable the post holder to keep up to date with policies, procedures, and other developments.
  • Participate in staff meetings, in-service training, and external courses as appropriate.
  • Work within the Trust and Departmental policies and procedures.
  • Participate in regular supervision and the Trusts performance appraisal scheme
