Cardiology Assessment Unit Administrator Scope & Range

This post supports and forms an integral part of the Cardiology Assessment Unit Administration Service within the Cardiology Department. The role ensures the smooth and efficient operation of the reception and administrative functions of the unit, providing a high-quality service to patients, relatives, and clinical staff.

Main Duties and Responsibilities
  • Manage and oversee the efficient day-to-day running of the Cardiac Assessment Unit reception area.

  • Organise and maintain the patient appointment systems within the unit.

  • Manage Cardiac Assessment Unit diaries and clinic schedules.

  • Monitor patient wait times and escalate potential delays or issues to the appropriate personnel.

  • Coordinate and manage appointment systems for:

    • 24-hour tapes

    • Cardiac Memo

    • Ambulatory Blood Pressure (ABP) monitors

  • Answer and respond to telephone calls and voicemail messages in a timely and professional manner.

  • Act as the first point of contact for patients and visitors attending the Cardiac Assessment Unit.

  • Greet and book in patients attending clinics or diagnostic tests using Alex Health and CRIS systems.

  • Direct patients to the appropriate waiting areas for clinics or diagnostic procedures.

  • Process and follow up on patients who do not attend appointments (DNA).

  • Collect, receive, sort, distribute, and frank post daily.

  • Cash up clinics in accordance with Trust procedures.

  • Liaise with transport providers regarding patient transport arrangements.

  • Address and manage communication issues involving patients and relatives.

  • Implement service changes as required to meet service demands.

  • Receive, process, and appropriately escalate complaints from patients, relatives, and reception staff to the Assistant Service Manager.

Decision-Making & Judgement
  • Assess and determine which queries require immediate escalation and which can be managed within the role.

  • Recognise when patients require input from clinical staff and escalate accordingly.

  • Escalate situations that fall outside Trust policies, agreed procedures, or nationally agreed terms and conditions.

  • Maintain patient confidentiality at all times, particularly when communicating with relatives.

  • Remain calm and professional under pressure.

  • Effectively prioritise workload in a busy clinical environment.
