Job summary
An exciting opportunity has arisen for an E-Rostering Advisor to join the People Information & Systems Team. The successful candidate will have high levels of IT literacy with recent extensive experience of using allocate healthroster. Experience of delivering training would be beneficial.
You will provide direct support to the E-Rostering manager for the continued rollout of the Allocate Optima E-rostering system for both Agenda for Change and Medical & Dental staff. This includes the migration of departments to the system, resolving more complex technical problems, system configuration and addressing the process changes that complement the effective implementation.

With support from the E-Rostering manager, support system projects, including roll outs to new areas, system upgrades and use of new functionality, as and when required

Job responsibilities
- Act as the main point of contact for all users of the Trusts rostering systems
- The post holder will support the development of the Rosters & all the interactions to facilitate effective & cost-efficient scheduling of both permanent & temporary staff working closely with NHS Professionals, Medical staffing coordinators and Temporary staffing
- To support the development of policies and procedures and ensure they are adhered to
- The post holder will be responsible to ensure that all monthly payroll attendance and absence files are submitted via the Payroll Extract to the ESR Payroll Hub following finalisation of all Rosters
- Carry out required system configuration for adding new starters, their pattern assignments into the right slots, annual leave entitlement, and user accounts etc. as per the new/agreed rota plans within the divisions
- To implement & monitor the performance of effective rostering by providing specialist knowledge & expertise
- Support the roll out of electronic rostering to the all workforce staff, provide training & support to new & existing users so that they are able to create, approve, update and finalise rosters and activities
- Liaise with the Recruitment and Medical Staffing Teams to ensure that changes to staff terms and conditions, internal rotations, job plans and rotas etc. are fed into the rosters
- Be aware of all staff safety rules, working hours and terms and conditions and their impact on rosters
- Highlight operational causes of data quality concerns to Trust Managers to ensure the integrity and quality of system data
- Responsible for the day-to-day maintenance, operational support and administration of the Trusts Health Roster systems. This will include issuing user accounts, providing training and reports for all Staff groups that use the rostering systems within the Trust
- Collate and prepare monthly reports to relevant areas of the organisation
- Collect and prepare activity data as required including efficiency indicators on roster production and staff utilisation to inform Trust Key performance Indicators (KPIs) and support improved use of resources
- To undertake analysis and audit of information produced by the rostering system, providing a summary of and reports to senior managers as required
- Attend roster review meetings (Check and Challenge) for allocated roster areas, providing key metrics data to highlight concerns and contribute actions to address
