Job summary
The Division of Surgery, Cancer and Cardiovascular are looking for an enthusiastic and dedicated Administrator to join the Vascular Surgery Team. Accountable to the Service Support Manager, you will play a pivotal role in delivering operational standards within the Vascular Surgery service.
The Band 3 post holder will be responsible for working closely with the Vascular Clinical Nurse Specialist team to help manage patient waiting lists, for both theatre and non-theatre lists across two sites (St Marys Hospital and Charing Cross Hospital). The post holder will support the clinical team in delivering excellent care for our patients by providing an effective and efficient clerical support service.
The successful candidate will be approachable, have excellent communication skills with the ability to develop key working relationships with all levels of staff including consultants, junior medical staff and nurses. They will also have the ability to work independently, as part of a team and within the values of Imperial College Healthcare NHS Trust. There will also be the opportunity to take a role in on-going development of the service and contribute towards team projects.
Main duties of the job
- Provide a comprehensive and quality administration service to the designated department and manage and prioritise their workload liaising closely with the other administration staff and management in the Department.
- Provide administrative support to the wider multidisciplinary team, including Consultants.
- To provide patients with appropriate information relating to their hospital appointment /procedure.
- To provide an agreed level of general and clinical information relating to tests and investigations. Analysing problems and finding solutions as well as using judgment to know when to pass the caller on to a member of the clinical team.
- To be able to arrange scan appointments and investigations for patients where appropriate (this may involve booking multiple tests and information for this action may come from various sources). Ensure that patients are informed accordingly.
- To liaise with other departments (clinical and administrative) within the Trust and take action where appropriate.
- Maintain a separate filing system for all medical correspondence. Ensure that records are kept in a proper and orderly manner. Organise and maintain an accurate and secure filing system, in both paper and electronic forms where appropriate.
- Deal with telephone queries from Patients, General Practitioners, Consultants and other Hospitals, as well as general Departmental matters.
