Job summary

To provide highly efficient, professional, executive level secretarial support and management of all office administration processes. This will primarily be underpinning and supporting the activities of the Engagement and experience division. The Director of engagement and experience, Director of insight and experience and Director of communications and engagement Director of engagement and experience, Director of insight and experience and Director of communications and engagement roles encompasses a wide and diverse spectrum of engagements, correspondence and publications and the post holder is required to receive, analyse and interpret queries and liaise with staff and management in departments and divisions across the Trust, , Imperial Health Charity, Imperial College, members of the Acute Provider Collaborative and key internal and external stakeholders, including other NHS and Government bodies.

Main duties of the job

The post holder will be delegated a high level of responsibility, manage their own work and use their own initiative taking key decisions within broadly defined administrative policies, frequently without reference to the Director of engagement and experience, Director of insight and experience and Director of communications and engagement. Director of engagement and experience, Director of insight and experience and Director of communications and engagement The post holder will lead on all office administration activities.

Efficient Office Management:Oversee daily administrative processes and manage the DEPT/SERVICE office, including supervising junior support staff.

Seamless Diary Coordination:Ensure the Directors of Engagement and Experience, Insight and Experience, and Communications and Engagement have their schedules optimized for maximum productivity.

Autonomous Decision-Making:Operate with a high degree of independence within the Engagement and Experience division. Youll handle incoming tasks, analyse and interpret them, and decide on the appropriate actions without needing to consult the directors.

  • Ability to work under pressure with conflicting/tight deadlines
  • Ability to prioritise workload

  • Typing speed of 65 wpm

  • Demonstrable experience as a secretary / PA
