Job summary
Are you great with people, very organised, and passionate about patient care? Our Fertility IVF service is seeking a dynamic, proactive and highly motivated individual to join the administrative team as an IVF laboratory administrator. You will be an integral member of the team providing effective day-to-day clerical support to facilitate the smooth running of our service, with scope to develop your career.
Gynaecology provides a wider range of general and specialist care; Fertility is one of them and based at Hammersmith HospitalYou will be working in close collaboration with the Embryology team of our department. Duties include but are not limited to admitting patients, meeting and greeting patients and visitors, filing, arranging interpreters and patient transport, and general clerical duties such as booking of appointments and answering telephone calls. The post holder is also expected to work in conjunction with medical records guidelines, Trust policies and HFEA regulatory; with the movement of case-notes around the Trust, the provision of, preparation maintaining up to date electronic records.
We are looking for candidates dedicated to delivering excellent patient experience, who are comfortable working in a dynamic and fast-paced environment.
This post is a part-time basis of 15 hours per week fixed term and on-site.
Main duties of the job
- Maintain the confidentiality of records and hospital information at all times and in accordance with legal requirements, obtaining/updating patient's medical notes as required.
- Sending out embryo expiry letters and following up on patients that do not reply.
- Ordering laboratory supplies as and when they are needed to ensure clinical work is not compromised.
- Carrying out general administration duties such as photocopying, scanning, printing and laminating as required.
- Answering and processing telephone calls in a polite and friendly manner.
- Reporting treatments to the HFEA (Human Fertilisation and Embryology Authority).
- Following up pregnancy outcomes and reporting them to the HFEA via IDEAS.
- Data entry in IDEAS and other databases.
- Monitor stationary usage, ordering supplies (including printer cartridges etc) as required, in order to maintain sufficient stock levels.
- To provide efficient and friendly administrative support to the embryology laboratory and ensure accurate patient data is submitted to the Governing Body (HFEA) in a timely fashion.
- Ensure all information provided, both written and verbal, is accurate and timely
