Receptionist/Patient Administrator - Pre-assessment, Band 3
We are looking for an enthusiastic and self-motivated candidate to join the Preoperative Assessment Team at Chelsea and Westminster Hospital. The post holder will be required to work closely with the Administrative Managers and Clinical teams, including team leaders, nursing and medical staff and liaise with a range of staff internally and externally across the Trust.
You will be able to adapt quickly and effectively in different environments, able to be flexible when faced with challenging situations and provide administrative support to our clinicians and provide quality customer service to our patients.
Successful candidates should be able to undertake a wide range of administrative duties. They should be a good team player, have excellent listening and communication skills, be organised, adaptable and flexible.
Hours of work are Monday to Friday with alternate Saturday shift.

Main duties of the job
The post holder will contribute to the delivery of high quality, safe and compassionate healthcare to patients by providing an administrative service focused on the patient and their individual needs. The Patient Administrator will provide effective and efficient administrative support to a team liaising with patients, doctors and other healthcare professionals. The staff member will work consistently to provide high quality customer service and will be professional at all times.

- To perform any admin duties required for specific area of work
- To take and relay as appropriate, telephone enquiries, e-mails and messages, using initiative and prioritising skills when disseminating information
- Calling and texting all the patients to confirm they POA date and time
- Contact other departments and teams as necessary relating to the patient care pathway and service delivery
- Support the Team Leader and practitioners with the smooth running of surgery lists
- Provide any specific advice to patients upon booking-in, in preparation for their surgery
- Type urgent letters and reports as required
- Liaise with consultants and other admin staff regarding patient appointments, referral letters and health records
- Ensure that a customer focused service is provided for all the patients and all the queries are dealt with in an efficient, polite and courteous manner
- Address all patients queries where possible, directing them accordingly
- Supervise more junior staff and ensure work objectives are being met on a day-to-day basis
- Ensure that patients surgery is booked in accordance with booking rules outlined in the Trusts Access Policy, in order that patient pathway targets are achieved
- Escalate any capacity issues via the local escalation process
- Liaise with patients, clinical office staff and others regarding appointment queries and available appointments
- Provide advice with regards to appointments to patients on the telephone
- Book patients appointments over the telephone
- Use hospitals computer systems, to pre-register patients, update existing documentation and notify patients of their appointments via letter, telephone or reception
- Use the internet-based National Tracing Service to check patients demographics such as NHS number
- Continuously up-date the schedules as lists are amended and extra lists are put on
