Job summary

The role of the Radiology admin coordinator who has specific interest in interventional radiology is to ensure the efficient administration of all radiology bookings in particular interventional radiology referrals and clinics. The post-holder will book all referrals appropriately and according to waiting time requirements, adjust clinics as required for absence or other service requirements and ensure that all scans and documentation are available for appointments. The role is central alongside medical, nursing and radiological staff and the Interventional Radiology management team to provide well-coordinated administrative support to the Interventional Radiology Service as well as the whole of radiology.

The post holder will work in an organised methodical with attention to detail manner maintaining an organised desk area as a main point of contact for bookings and admission enquiries. This involves interaction with consultants who work across trusts and may not be on site.

Main duties of the job

Ensure proactive co-ordination of all IR clinics,ensuring all referrals are forwarded to the consultants & booked according to quality standards e.g. research trial time schedules, breech dates & patient treatment schedules.Communicate with a range of clinical/non-clinical staff regarding progress against quality standards

Receive & act unsupervised on complex information as agreed by the IR management team, ensuring new patients have referral letters & that cancellations are re-booked to avoid loss of valuable slots.

Support the administration team leader & the whole of the radiology admin team.Liaise with clinical teams regarding pre procedure tests

Book appointments, re-book/change when requested following CWH and national guidelines.

Establish & maintain effective communication with clinicians & members Multi Disciplinary Teams (MDT) supporting the smooth running of the IR clinics.

Requires a working knowledge of a range of IR procedures & procedures outside the spectrum of IR for which IR support or input may be required Answers queries from medical staff & patients re: IR procedures

Ensure IR team are kept informed of all admissions/cancellations.Liaise with ward's to check patient's admission before IR procedure. Liaise closely with IR consultants to minimize waiting times for specialized procedures across the subspecialty

To ensure proactive co-ordination of all Interventional Radiology clinics.

To ensure all referrals are forwarded to the relevant consultant immediately on receipt and then booked appropriately according to quality standards e.g. research trial time schedules, breech dates and patient treatment schedules.

To liaise with the Consultant Radiologists to ensure that referrals are booked in the appropriate imaging modality.

Communicate with a range of clinical (consultants, radiographers, advanced nurse practitioners, site practitioner, ward nurses,) and non-clinical staff concerning progress against quality standards e.g. research trial time schedules, breech dates & patient treatment schedules.

Receives and acts unsupervised on complex information that has been agreed by the IR management team

Facilitates communication between IR and other relevant clinical services

To ensure all new patients have referral letters and that any cancellations are re- booked to avoid loss of valuable slots.

To liaise with clinical teams regarding pre procedure tests.

To support the whole of the radiology admin team.

To support the administration team leader.

To train administration team in interventional radiology bookings.

To notify and liaise proactively with the IR Superintendent where there are capacity problems.

To be responsible for booking appointments, ensuring that any DNAs are logged on the RIS, re-booked or changed when requested following CWH and national guidelines.

To establish and maintain effective communication with clinicians and other members of the Multi Disciplinary Team (MDT) to support the smooth running of the Interventional Radiology clinics.

To liaise with IR and CT Superintendents, IR consultants, Radiology Nursing Sister, Medical Secretaries and Head of Imaging in relation to changing diagnostic clinic templates, clinic cancellations and reductions, ensuring patient appointments are re-booked within a reasonable time frame.

To liase with MRI Superintendent in relation to booking of the GA list and any patient specific concerns or requirements

To monitor any overbooking of Interventional Radiology sessions and where necessary liaise with medical and nursing staff to manage, referring to the IR Superintendent where there are on-going concerns.

Requires a working knowledge of a range of IR procedures and procedures outside the spectrum of IR for which IR support or input may be required

Requires an understanding of CT scanning procedures

Requires a basic understanding of MRI patient safety in relation to the MRI questionnaire and escalates any concerns to the MRI Superintendent

Answers queries from medical staff and patients regarding IR procedures or escalating query to IR Superintendent, Radiology Sister or IR Consultant if required

Ensure all relevant pre procedure documents are available for the IR, CT or MRI GA list

Once an IR booking has been confirmed, send the appointment letter and relevant information to the patient.

Ensure that Interventional Radiology team are kept informed of all expected admissions or cancellations

Liaise with wards to check patients admission before IR procedure.

Attend all IR meetings to discuss patient bookings and admissions

Inform the Superintendent Radiographer or Radiology Sister of any cancellations or queries that need to be addressed.

Liaise closely with IR consultants to minimize waiting times for specialized procedures across the subspecialty

Request and liaise with anaesthetics for GA support when necessary

Organize any missing pre procedure tests prior to ensure clinic list is utilized efficiently

Maintain the weekly Interventional Radiology and Interventional CT sessions as well as the MRI GA list

For patients attending for Interventional Radiology:

Communicates with patients regarding their appointments and IR procedures

Provides advice and guidance to patients and their relatives on appointments, procedures, information leaflets, fasting instructions

Acts as first point of contact with IR dealing with enquiries from patients, relatives and medical staff outside IR

Uses tact when dealing with patients who may be agitated or upset

Request all required pre procedure tests/screening

Request patients anticoagulant drug history

To have responsibility for the input and maintenance of good quality data on the patient information systems.

To make an assessment of any patient requests or issues by phone or in the department and where necessary refer the matter on to an appropriate member of staff.

To demonstrate a commitment to the delivery of a high quality service to patients and other service users and to assist in diffusing informal complaints relating to diagnostic patients.

To liaise with the IR, CT or MRI Superintendent, Radiology Nursing Sister, Radiology Nurses or Consultant Radiologists on matters relating to clinical care.

To respond to any queries or complaints from Interventional Radiology patients regarding administration of clinics and appropriately refer any unresolved issues or clinical matters relating to clinical care to the IR Superintendent as appropriate.

To identify patients who are potentially being transferred from West Middlesex Hospital to Chelsea & Westminster for an IR procedure and adhere to the referral pathway

Quality & Service Development

To undertake on-going training to develop the role and be aware of relevant internal and government initiatives relating to the role.

To respond appropriately to any queries or complaints from other members of staff or patients regarding the administration of Interventional Radiology clinics and appropriately refer any clinical matters to the IR Superintendent as appropriate.

To attend any relevant working groups and participate in the development and local adoption and implementation of new policies, procedures and initiatives as requested by the IR Superintendent or Radiology Services Manager

To work positively and with minimal supervision to deliver objectives and where applicable to undertake related projects or developments relating to the improvement of the diagnostic clinics.

To undertake appropriate training and education for the role as required by the line Manager.

To support or undertake audits as directed by the Service Manager or Clinical leads, related to the management of diagnostic services in Interventional Radiology
