Job summary

Our Research Department is looking for a Data Administrator to join the team in an important role on its journey to make the most of the digital tools and opportunities that can support clinical research activities within the Trust.

The postholder will create, test and update data management systems that support the day to day activities of the Research Delivery Teams.This will include gaining a detailed understanding of the PowerTrials add-on to the Cerner Millennium Electronic Health Record (EHR) system, building new studies on the platform, assigning user rights and providing relevant training in close collaboration with the relevant teams.

The postholder will be based with the Research Operations team at our Harbour Yard offices, and in their role to support Research Delivery Teams, will need to be able to travel occasionally to our hospital sites. Flexible working can be negotiated with up to 2x days per week working from home.

Main duties of the job

Key responsibilities

  • Administrate data management systems used by the Research Department
  • Develop and maintain an update understanding of Cerner PowerTrials and manage day to day administration of the platform.
  • Act as first point of contact for users related to delegated data management systems.
  • Collaborate with research teams and investigators to specify data requirements, data flows and data definitions for operational reporting.
  • Organise set up, testing and authorisation of systems to agreed timelines.
  • Work consistently to provide high quality customer service and be professional at all times.

  • Manage the set-up and maintenance of operational data management systems.
  • Liaise with the Research Operations and Delivery Teams to collect and clarify any requirements for creating study records.
  • Check information from different sources, including study protocols to ensure data and related documents are correct, consistent and up to date.
  • Produce test evidence reports for created study records.
  • Assign and manage user roles to research data systems, where required.
  • Coordinate, agree and manage timelines on assigned projects.
  • Ensure prompt and efficient response to queries or contact from users, acknowledging all communication and ensuring efficient flow of information.
  • Organise, store, preserve (archiving and access), and share collected data according to Trust and departmental guidelines.
  • Maintain active relationships and dialogue with the Trusts IM&T department, to work through any issues or updates regarding the systems used.
Data quality assurance and monitoring
  • Work to Good Clinical Practice (GCP) guidelines on trial conduct and data management and ensure knowledge is kept updated.
  • Ensure all data handling complies with the General Data Protection Regulation (GDPR); this may entail participation in spot checks and regular audit.
  • Follow data management documentation including Standard Operating Procedures (SOPs) are highlight.
  • Manage the efficient processing, validation and quality assurance of operational data across the department.
  • Work with trial teams and database providers to ensure that data management systems are maintained to the highest level of integrity at all times.
  • Develop research data related operational instructions and training materials.
  • Support regular quality controls, with prompt and appropriate responses to incoming data.
  • Deliver efficient discrepancy management and resolution, quality control, data cleaning and validation.
  • Participate in system audits as agreed with Senior Research Data Manager
Reporting
  • Provide and present timely highlight, exception or data quality reports as requested by the line management.
  • Notify and document significant deviations in data collection and integrity.
  • Ensure contractual obligations are met including safety reporting obligations, provision of documentation, progress reports and report writing.
  • Escalate any potential concerns about data integrity or data safety immediately to the line manager or a senior in the department.
