Job summary

The Band 3 Patient Engagement & Involvement Administrator role will provide essential support to the Patient Engagement and Involvement Manager (Band 6) in ensuring patients', families', carers', and communities' voices are heard. The post holder will play a crucial role in delivering day-to-day administrative tasks, helping to facilitate patient and community involvement, and ensuring engagement activities run smoothly. Administrative responsibilities will be central to the role, alongside occasional support with engagement initiatives under the guidance of senior colleagues and support to both PALS and volunteering teams when required due to high demand.

Main duties of the job

Provide day-to-day administrative support to the Patient Engagement and Involvement Manager, maintaining accurate records, databases and paperwork. Assist with organising engagement sessions and community activities, including arranging rooms, equipment and materials. Support routine communication with patients, families, carers, community groups and partners, and help gather and distribute feedback for service improvement. Maintain spreadsheets and simple databases to record activity and contribute to basic reports and summaries.

Provide administrative support to PALS during busy periods by logging cases, updating records and handling routine enquiries, ensuring information is recorded accurately and passed on promptly.

Assist the Volunteering Service by processing paperwork, updating records, supporting recruitment stages and coordinating training dates, offering practical support at peak times.

Provide light administrative help to the Chaplaincy team, including booking requests, maintaining visit logs and supporting communication tasks, ensuring information flows effectively between teams and wards.

Work flexibly across Patient Experience, Volunteering and Chaplaincy to help manage workload peaks, prioritising tasks appropriately and escalating when required.

Carry out duties in line with Trust policies and supervision arrangements, seeking guidance when working beyond experience, and contribute positively to team culture and Trust values.
