Job summary
The role of Deputy General Office - Manager is to deputise for the Office Manager,
this post requires a high level of initiative in dealing with queries from Managers, Doctors, and clients external to the organisation. Decisions on day-to-day operational issues can be made, however the Business Service Manager or head of Business Services would make decisions in respect of the more complex/strategic issues. It would be expected a member of staff in this post would to a large extent manage and prioritise their own workload, to ensure predetermined deadlines are met in a timely manner.
The post requires excellent communication and working relationships within the Finance Department, the Trust and externally. In particular the post has to deal with a high volume of queries from external clients. It is expected that the post holder would communicate complex financial matters to non-financial staff such as Clinicians, Clinical Managers, and administrators.
Main duties of the job
The post holder will be responsible for staff.
The post holder will also be responsible for ensuring staff within the section are adequately trained to perform their duties to an agreed standard and that the organisations policies, regulations, procedures, and time scales are understood and observed by all staff within the section.
The post holder will be expected to be able to prioritise the workload and react to changing circumstances and demands on General Office staff.
The post holder will be expected to have a good technical understanding of this area of responsibility and to demonstrate a broad knowledge of the objectives and activities of the financial service function.

Responsible for liaising directly with Hospital Consultants, Secretarial Support Staff and Medical Teams to ensure all private patients are identified if possible, prior to treatment.
Responsible for interviewing all private patients prior to commencement of treatment ensuring all relevant documentation is signed by patient and that where appropriate a Private Medical Insurance Authorisation Code is obtained.
Responsible for ensuring that where a patient is not covered my Private Medical Insurance, that a substantial deposit is collected prior to commencement of treatment.
