Job summary

An exciting opportunity has arisen for a motivated, enthusiastic and experienced PA/Medical Secretary to join the administration team within the Rheumatology service of Liverpool University Hospitals NHS Foundation Trust, based on the Aintree University Hospital site.

Applicants should be an experienced and professional secretary with excellent organisational and communication skills. This would be an ideal opportunity to progress your career within the NHS.

The successful candidate must be able to undertake all administrative duties, be well organised, able to plan their workload, work on their own initiative and work to deadlines, both individually and as part of a team.

Cross-cover working will be required to ensure the needs of the service are met.

This is a full-time, permanent position.

Main duties of the job

To provide a comprehensive service to the consultants and specialty teams, with the minimum of supervision.

It is essential that you show initiative commensurate with the role and it is vital that confidentiality should be maintained at all times.

To organise own workload and coordinate activities with other medical secretaries to ensure that an efficient service is provided.

To manage the patient journey from referral to discharge.

Job responsibilities

  1. Provide a comprehensive service to consultants and specialty teams including nurse practitioners/clinicians.
  2. Manage the patient journey from referral/RTT to discharge for patients within own area, ensuring these are recorded accurately on the relevant systems, and that patient is reviewed promptly in appropriate clinic.
  3. Clinical Utilisation management, ensuring clinics are fully populated with correct patients or cancelled as appropriate.
  4. Management of patient waiting lists, highlighting areas of concern to consultant, line manager and others as appropriate.
  5. Deal with patient queries in a professional and courteous manner ensuring information is shared with relevant clinical staff as required.
  6. Accurately transcribe clinical dictation using appropriate system ensuring reports are distributed in accordance with consultant instructions, completing any actions arising from clinical dictation as required.
