Job summary

To provide an efficient, effective, professional and confidential administrative and secretarial service to the Adult ADHD & Autism Service (AAAS) team. The post-holder will provide secretarial and administrative support to the team, primarily focused on the processing of incoming referrals from GPs.

The post holder will be required to participate in the reception function for the AAA Service including answering the telephone and dealing with queries which at times requires tact, sensitivity and emotional resilience in responding to patients who may be unwell.

Main duties of the job

  1. To ensure that all referral and registration data is inputted accurately within the Trusts EPR system and within the required timescale.
  2. Notes are requested, ordered and delivered in a timely manner in readiness for clinic appointments
  3. To carry out general clerical duties including, word processing, filing, photocopying, telephone answering, and dealing with general enquiries.
  4. Effectively communicate issues to relevant parties, using initiative when dealing with enquiries that may require a prompt response when dealing with sensitive information or with patients' whom are unwell
  5. To assist with the setting up and maintenance of effective and efficient administrative systems for the Team. To input, update and retrieve information into computer databases.

It will be expected that the post holder will need to provide cover for team members in times of absence such as annual leave, sickness etc, and additionally where the workload of the Team requires it.
