Job summary
The post-holder will be responsible for the day to day admin activity on the wards. Primarily working closely with the line management team and being the support for the band 2 Ward Clerk team. The post holder will be required to work flexible as and when required.
Liaises with: Patients and Parents/Carer's, Patient Admin Service Team, Lead Nurses and Ward Managers; Clinical Teams; Directorate Management Teams, Medical Secretaries, Education and Training Team and Human Resources.
Main duties of the job
- Using iPM Lorenzo record and amend bed availability and produce reports. Admissions, discharges, transfers and associated ward activity in real time thus ensuring the bed compliment / ward activity is up to date.
- To ensure that all relevant consultant and specialty details are collected in iPM (Lorenzo) and are kept up to date in line with any transfers.
- To ensure that all information regarding the patient demographic details are checked at each admission or transfer and updated on Lorenzo, to include
- Ethnicity
- Religion
- Telephone numbers
- NOK
- School
- Validate NHS number and patient demographics using the Spine (PDS)where possible.
- To identify any patients not matching the spine and raise with team leader for further investigation.
- To ensure Casenotes are available for all admissions following an Emergency admission.
- Dispatch and receive casenotes using the iPM document tracking module.
- Dispatch / file documents and records after patient discharge.
- To ensure that patient documents and records are available and maintained to a high standard.
- To pass details of missing Casenotes for admissions to relevant Patient Admin Services Team Leader.
- Following ward discharge ensure all relevant patient records are available for Clinical Coding Team.
- To implement business Continuity plans when the computerised systems are unavailable and assist in data entry following system outage.
