Job summary

An exciting opportunity has arisen within the Goldman Sachs Centre for Urgent Care department in Sutton for a highly motivated and dynamic Band 3 Administration Assistant/Ward Clerk.

The successful candidate must be an innovative, hardworking, and enthusiastic person with a broad range of skills and experiences. We are seeking to appoint a compassionate and caring person who will be able to work closely with their line manager and the CUC nursing team to deliver outstanding care to our patients.

Main duties of the job

The AOS administrator provides clerical service for staff, patients and relatives attending the Centre for Urgent Care. CUC aims to provide rapid assessment of emergency cancer admissions who present with acute symptoms of their disease and/or treatment, enabling prompt initiation of treatment. Welcoming and directing patients appropriately as they arrive on the unit is a key task within this role. The post holder will be working closely with the CUC nursing staff, maintaining a high level of communication between the unit, medical staff and allied health care professionals. Administrative support for the Acute Oncology Service will also be required to ensure a seamless service. Managing the filing system and keeping the booking system up to date and accurately ensures data is captured correctly for audit purposes. A professional and caring attitude is essential to maintain patients' dignity and ensure confidentiality is upheld.

Job description

  • Meeting and greeting patients on arrival to the unit, directing them to the CAU waiting area and acting as a receptionist to all visitors. Orientating visitors to the unit and explaining admission process.
  • Answering the telephone and acting as telephone receptionist for the unit. This will include referring the caller to appropriate members of staff or taking messages accurately when necessary.
  • Ensure accurate updating of patient demographic details on the Patient Administration System and medical notes and inform registration of updates when required.
  • Managing the CUC booking system, for example recording patients arrival time, booking patients into clinic appointments on arrival and out of clinic on discharge from the unit. Booking future clinic appointments as directed.
  • Ensuring the filing of papers, clinical results and reports to patients case notes whilst on the unit and returning all notes to medical records.
  • Ensuring all Discharge Summaries have been written to be sent to appropriate recipients.
  • Liaising with hospital transport for patients attending the unit, booking emergency transport when required.
  • Liaising closely with the co-ordinating nurse regarding special needs, translators, porters, infection risks etc to ensure smooth and safe operation of the unit.
  • Maintaining constant contact with the Bed Manager, communicating any potential admissions.
  • Keeping patients informed of approximate waiting times through consultation with the nurses.
  • The organisation and transfer of CUC and AOS documentation, including photocopying, electronic transfer and faxing as necessary to other hospitals.
  • Uploading any external and internal documentation received. Scanning relevant hard copy data onto patients case notes.
  • Liaising with all clinical staff at all levels throughout the Trust. This includes maintaining good communication between in-patient and out-patient services: as well as acting as a link person where necessary.
