Job summary

The West Wing Clinical Research Centre

The principal function of the WWCRC may be broadly defined as a dedicated clinical research facility for patients undergoing treatments on a clinical research protocol and who require supportive procedures whilst on a clinical research protocol which is based at the sutton site.

It also facilitates adherence to the research protocol including accurate data collection and Good Clinical Practice principle.

The WWCRC consists of treatment chairs, pharmacy, laboratory and biopsy service, this is an opportunity to get an overview of the centre and how its managed and expectations from the various tumour groups running their studies in the centre.

Main duties of the job

The West Wing Clinical Research Centre Administrative Assistant/ Scheduler/ Receptionist post is an integral position within The West Wing Clinical Research Centre (WWCRC) team, under the supervision of the Sister of the unit and the Matron. The post holder will assist with all administrative aspects of the unit including data collection, reception and clerical duties to maintain an efficient, welcoming and proactive administrative and receptionist service.

The post holders must adopt a professional and caring attitude with a polite and courteous manner in all aspects of communication to staff and visiting patients and their families.

The post holders will assist with all administrative aspects of the unit including:

  • Scheduling a range of treatments.
  • Booking appointments.
  • Providing a welcoming and helpful reception for day and outpatient areas.
  • Data collection
  • Other clerical duties associated with the running of the WWCRC

A uniform will be provided.

These responsibilities will be carried out under the guidance of the Sister for WWCRC

Appointments, Scheduling and CapacityManagement

To deal with all patient research referrals from clinicians/ research nurses, ensuring that the treatment is scheduled within WWCRC guidelines.

To liaise directly with the patient regarding their treatment, providing information and reassurance and managing patient expectations regarding their appointment.

To liaise with the clinical research teams and nursing staff/ research nurses to prioritise the scheduling of new referrals and continuing appointments.

To schedule all treatment on the Unit in line with local guidelines and protocols.

To plan patient treatment and unit capacity efficiently, having consideration for a range of influencing factors such as the nursing staff rota, pharmacy turnaround times, WWCRC opening hours and availability of blood results etc.

To plan and to reschedule workload, when necessary, to ensure that the unit capacity is optimally utilised.

To ensure that all patients leave the unit with an appointment for their next clinic and treatment, where appropriate.

To reschedule appointments for patients whose treatment has been cancelled or delayed.

To adhere to patient appointment booking processes on the Digital Health Record, ensuring that Trust procedures and local protocols are met.

To ensure that all relevant paper documentation is scanned into the electronic patient record (e.g., consent forms, chemotherapy referral forms)

To pre-prepare all clinics

To manage overbooking

To ensure that the clinics are organised and well run. Liaising with the nursing and medical teams dependant on patient acuity and changing needs of the patients waiting to be seen.

To discharge patients off clinics who are non-attenders and contact them and relevant research team to rebook.

Service delivery

To work closely with the Nurse Co-ordinator.

To ensure that the coding department receives the required patient information daily so that all chemotherapy income can be fully recouped.

To be responsible for regular collection of data and information as requested by the Matron, Service Manager or Sister, including quality statistics and patient details.

To support service improvement initiatives implemented by the Matron, Service Manager and/or Sister and to make suggestions for improvements to the service.

Reception duties

To run a highly efficient and patient-focussed reception service, including:

To meet and greet all patients and visitors to the unit in a professional, courteous, and friendly manner.

To deal calmly and sensitively with vulnerable patients and a range of difficult situations.

To deal with a high volume of patients with complex needs daily, both face-to-face and over the phone

To communicate effectively with patients in relation to their use of services on the unit, guiding patients around the Unit on arrival.

To deal proactively and effectively with a wide range of enquires from clinicians, nurses, and administrative colleagues, escalating to other staff when appropriate.
