Job summary

An exciting opportunity has come up, to join our small, friendly and driven Team.

This administrator role sits within the Chlamydia Screening Team which delivers the National Chlamydia Screening Programme targets locally, the Brighton Home STI testing service for all local residents and the Sexual Health Promotion aims for Under 25's across the city.

The team is embedded in the Sexual Health and Contraception service (SHAC) in Brighton and Hove, based at the Royal Sussex County Hospital.

You will be responsible for providing administrative and clerical support, working as part of a team to deliver the highest standards for patients and staff. Main duties will include typing and data input, logging and giving results, responding to telephone enquiries, use of office equipment such as photocopiers and printers, maintenance of electronic patient records, ordering and management of stock, including online packs, community testing and support of the C-Card free condom scheme. There may be occasional outreach to colleges and events to support the Health Promotion Team.

Main duties of the job

The Chlamydia Screening Administrators provide a friendly and efficient service for patients; managing results, follow up's and enquiries and booking appointments. They support the daily functions of the team, including managing and ordering stock, making up home test kits, sending kits to patients and inputting returned samples for processing at the lab. They support the Health Promotion functions of the team by sending stock to pharmacies and attending occasional outreach events such as college and Uni Fresher's events.

Communication

Answer complex enquiries both in person and on the telephone, including from people who may have varying levels of ability to understand or whose first language is not English.

Provide and receive complicated and sensitive information, and give explanations and instructions clearly and concisely including where barriers to communication may exist e.g. challenging behaviour, learning disability or those whose first language is not English

Use empathy, tact and diplomacy in dealing with patients who may be upset, hostile or antagonistic.

Answer internal and external telephone enquiries from other members of staff, other departments, patients/relatives, GP's and other hospitals in an efficient and timely manner.

Welcome visitors to the department and direct them to the appropriate member of staff.

Manage department shared email address, responding to enquiries, forwarding requests to relevant professionals.

Service Delivery and Improvement

Follow department policies and procedures and contribute to procedural and process changes which improve departmental effectiveness.

Work closely with the team to review working practices, identify new improved ways of working and find solutions to problems.

Contribute to surveys and assist with audit procedures as and when required.

Collation and distribution of Chlamydia & Gonorrhoea screening kits and resources required for outreach screening, including planning ahead to ensure enough kits are prepared for all upcoming screening events

Collation and distribution of Chlamydia & Gonorrhoea screening kits for community testing through GP's, Pharmacies and youth settings. Ensuring kits are received by community providers in a timely manner and maintaining excellent working relationships with key professionals.

Collation of online test kits and maintenance of an appropriate level of stock, processing online test requests, ensuring packs are sent out within expected time frame as per guidelines.

Processing returned test kits in-line with Standard Operating Procedures

Manage post for the CSP service including deliveries of stock and outgoing post

Operate office equipment including photocopying & printing.

Type documents such as reports and letters as requested.

Prepare invoices for authorisation and payment, order resources through trust systems, ensure stock arrives in a timely manner and is correct. Resolve any issues with suppliers. Store and maintain stock correctly.

Book meeting rooms, attend meetings and take minutes as required.

To be proactive in own personal development and maintain own personal development portfolio.

To reflect on and evaluate how well knowledge and skills are being applied in order to meet current and emerging work demands.

Train and support new and Bank/agency staff in systems and processes.
