Job summary

An exciting opportunity has arisen for a Project Support Officer to work on the Acute Floor Reconfiguration at the Royal Sussex County Hospital (RSCH). This is a multi-year programme of work to transform the Emergency Department and wider Acute Floor at RSCH to improve outcomes and experience for patients and staff. The role is a fixed term role until the end of March 2027.

The post holder will assist the Transformation Programme Manager in managing the day-to-day operations of the Programme and its clinical workstreams.

Main duties of the job

The postholder will develop and utilise project management tools to enable delivery of workstream deliverables and outcomes. They will be supported to develop key project management skills and have the opportunity to learning robust project management governance processes to ensure improved visibility and timely development and delivery of expected benefits. The post-holder will:

  • Play an important role in the preparation and maintenance of formal project document and update reports
  • Support the Programme and its workstreams, gaining experience in a variety of project management methods
  • Work closely with clinical and operational teams to understand the business requirements, identify opportunities for improvement and support the development of patient pathways, ways of working and implementation plans
  • Actively participate in the collection and analysis of data relating to the programme and its workstreams, often working with complex or sensitive data and,support development of patient pathways and standard operating procedures information to develop meaningful reporting
  • Assist with measurements systems to evidence baselines, forecasted and realised impact on key measures of success
  • Support with the development and dissemination of communications materials for the programme
  • Support the Programme Manager and Workstream Leads with the organisation of meetings, agendas, and papers

Role Summary

This role is to support an existing transformation programme for the Emergency Department and Acute Floor at RSCH. The objective of the programme is to improve the environment and models of care in order to deliver improvements to performance, patient safety, experience and outcomes and staff experience. The programme will oversee the identification and implementation of new models of care, such as the establishment of a Surgical Assessment Unit, and work closely to with clinical teams and the capital team to plan and deliver a new Acute Floor at RSCH, whilst maintaining current services throughout the build.

The Project Support Officer will work as part of a dynamic team to deliver an effective service, supporting managers and clinical staff to provide project support for the RSCH Acute Floor Reconfiguration programme and other improvement projects as required within Medicine Division.

The Project Support Officer is responsible for establishing and maintaining key project documentation, leading small to medium projects and supporting and monitoring progress of key actions in the plan. The post holder will also provide administrative and support to regular programme and sub-workstream meetings and improvements and efficiencies can be gained and driving forward the requirements through to business case recommendation, in line with Programme and wider Trust strategic objectives.

Project Management Support

  • To use a standardised approach to project management and maintain key project documents, including workstream project plans, risks registers, and action logs
  • To be responsible for information gathering and analysis to support the delivery of workstream plans.
  • To participate in programme and workstream groups, boards and other forums to provide information, project updates and analysis of evaluations to help inform ongoing project management and planning.
  • To organise meetings/events as directed by the Transformation Programme Manager as part of related programmes of work.
  • To support the administration of meetings/groups, including taking formal minutes/actions, the production of agendas and coordination of papers, ensuring that key documents are available within defined timescales
  • To identify and communicate information and issues, including through briefings and reports where necessary, to the wider project team.
  • To provide information on workstream progress upon request, when needed.
  • To produce regular workstream status reports and exception reports
  • To contribute to the development of key performance indicators for successful assessment of performance.
  • To assist with developing inputs required for business cases and ensuring that workstream plans deliver the required input in the required timescales
