Job summary
Working for the Trust Integrated Education team within the People Division, provide a professional, effective, and efficient administrative process, supporting the delivery and implementation of projects, along with the operational Integrated Education services.
The post holder will provide business support to the Director of Integrated Education alongside comprehensive, effective, and organised administrative support to the wider Heads of Integrated Education
The role requires an ability to effectively communicate, and plan works managing input from a variety of senior stakeholders from across all departments of the Trust. The successful applicants will need to be highly organised and motivated to deliver a high-quality service.
The post holder will support the Director of Integrated Education and the Business Manager to ensure that their work streams and programmes are managed effectively.
Robust knowledge of excel with outstanding attention to detail and strong organisational skills are a key requirement.
The post holder will act as a resource for all areas of Integrated Education and liaise with staff regarding enquiries and queries.
The post holder will support the organisation and delivery of Conferences, Events and provide support to various programmes including opportunities for work experience and internships.
Main duties of the job
Provide a full and comprehensive administrative support for the Education Director. This includes monitoring progress of projects, prioritising workload to meet deadlines and meticulous attention to detail.
Be highly proficient with Microsoft Office, including Excel. Word and PowerPoint.
Respond to frequent enquiries from stakeholders, professionals and, less frequently, the general public, including using written, verbal and face-to-face communication. Using empathy, tact, sensitivity and judgement to deal with all queries in a professional, confidential and sensitive manner, especially where there are barriers to understanding.
Deal with complex enquiries from a wide range of stakeholders in a professional and sensitive manner, ensuring confidentiality at all times.
Regularly prepare agendas, distribute papers and minutes for meetings. Take responsibility for meetings as required, including the preparation of a forward agenda plan, following up matters arising and ensuring actions are completed in a timely manner.
Act as first point of call for day-to-day issues within the department.
Attend mandatory training updates as required.
Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.
