Job summary

To take operational responsibility for the delivery of the Patient First Improvement System (PFIS) training programme.

Develop the overall PFIS roadmap, taking into account organisational need and balancing this with sustaining PFIS maturity.

Develop and deliver the PFIS training programme in accordance with the PFIS rollout plan, ensuring that the training material is current and reflects current best practise in PFIS standards.

Responsibility for relationship management and coaching for Care Group triumvirates and frontline/ corporate services during their PFIS training journey.

Provide direct coaching to PFIS areas to implement and embed continuous improvement tools in frontline/ corporate services.

Work with the Head of Strategy Deployment to coach divisional triumvirates to support the PFIS deployment process in their divisions and progress & sustain PFIS maturity.

The post holder must also work closely with the wider Kaizen team to ensure that there is adequate support in place to ensure that PFIS units transfer from training to part of the divisional 'business as usual' management system seamlessly and continued development and progression of maturity will be maintained.

Main duties of the job

Main Duties and Responsibilities

  • Develop and deliver full PFIS rollout training to enable building of capability across the organisation, ensuring staff have the appropriate level of skills training to deliver continuous improvement as a business as usual activity
  • Act as the lead trainer for full PFIS rollout training and be able to support PFIP for Leaders training, A3 training and Yellow belt training with the ability to deliver all aspects of these training programmes as required
  • Provide training which is enjoyable and engaging, ensuring that comprehensive feedback is collated, assessed and actioned to continue to provide training of the highest standard.
  • Provide coaching to frontline teams and their divisional leaders to support the implementation of PFIS.
  • Engage with a wide variety of stakeholders from a variety of disciplines and build a rapport that enables them to participate and fully engage in PFIS and its on-going sustainability as well as other Patient First training programmes
  • Work closely with the Patient First Improvement Practitioners, to ensure on-going support for PFIS areas and their divisions as PFIS units progress from training to using the improvement system as part of their 'business as usual'
  • Support the Assistant Director of PFIP in the delivery of Advanced PFIP for Leaders training as required.

Job responsibilities

Working closely with the Assistant Director of PFIP and the Head of Strategy Deployment, provide full PFIS training and support the delivery of all training programmes delivered by the Kaizen team.

The post-holder will be able to work within a highly complex healthcare environment to:

  • Responsible for developing and delivering the roadmaps for the Strategy Deployment (PFIS) and Capability pillars of the Patient First Improvement Programme (PFIP).
  • Plan and organise a broad range of complex activities through formulation; adjusting plans and strategies / develop long term, strategic plans that run through the whole organisation
  • Plans and implements new ways of working, facilitates collaborative working across the Trust: ensures capacity planning and develops long-term strategic plans for performance and service improvement
  • Working closely with each divisional & care group level triumvirate, take the shared lead responsibility for the rollout of PFIS including:
  • Support the development, implementation and governance of PFIS training, highlighting key measures/ KPIs
  • Develop and implement processes for evaluating PFIS training, including delegate feedback, impacts of training, application of learning etc.
  • Provide comprehensive reports to provide assurance of PFIS rollout, maturity and sustainability as well as quality of training ass required.
  • Working closely with the Patient First Team Leader, take ownership of the on-going maturity of PFIS in all divisions, ensuring progress and sustainability.
  • Develop long-term plans and roadmaps to ensure the progression of maturity for all units from graduate level through to mastering level
  • Continue to develop the PFIS maturity criteria for all levels ensuring that it represents current best practise
  • Support the development, implementation and governance of the Trusts Gemba with Purpose plan. With particular focus on divisional & care group level Gemba with purpose plans to support new PFIS areas
  • Support delivery of the Capability pillar, including delivering training and coaching to build continuous improvement capability across care groups and frontline/ corporate services.
  • Support the development and delivery of the capability roadmap ensuring adequate resourcing for programme delivery.
  • Contribute to the development of the Kaizen Office pillar to ensure that it has the capability and resilience to provide training and coaching support in line with the agreed Capability roadmap and contribute to the personal development of the Patient First Improvement Practitioners.
  • Ensure communication and engagement plans are in place that facilitate the celebration of success, in particular graduation events, sharing of best practice and learning across all part of the organisation
  • Provide operational management of the Patient First Training Administrator and ensure that all staff in the Patient First Team have up to date appraisals, objectives and personal development plans.
  • Identify the learning needs of those attending PFIS training an adapt accordingly i.e. the need for coaching vs mentoring
  • Promote training opportunities for these staff to ensure that the Trust has appropriately skilled staff to enable a high performance culture; and ensure that the function is adequately resourced and, through talent management, ensure that the workforce is planned for the Trusts future needs

  • Analysis of performance data and capacity and demand data, assessment of projects, identification of areas for collaborative working /expert analysis of performance/service redesign
