Main duties of the job

To provide clerical and administrative support to the Clinical EducationDepartment, external training providers and South East Coast AmbulanceService NHS Trust staff.

  • Provide data entry support for the tracking and reporting ofRegulated Clinical Qualifications, Continuous ProfessionalDevelopment Courses, Emergency Driver Training and MandatoryClinical Training programmes.
  • Registration and maintenance of course, learner and achievementdata on the Trusts training database (OLM).
  • To identify learners requiring the 4 week Emergency Driving course and co-ordinate the Emergency Driving course planning and delivery working collaboratively with the Emergency Driver Training Manager.
  • Plan, book and record attendance / achievement of Trust staff onUniversity Mentorship Programmes.
  • Support the Administration Manager in the procurement processesrelated to the Clinical Education Team, providing resiliency for thedepartment.

Job responsibilities

Responsible for making certification claims from the Awarding Bodiesunder the supervision of the Administration Manager / Driver TrainingManager. Responsible for making accommodation and hire cars arrangementsfor (in liaison with approved external suppliers and the Trust FleetDepartment) for. To prepare and issue certificates of attendance and completion oftraining programmes for non-regulated programmes of learning. Undertake the continued development of administrative processmapping and training documents to ensure resilience and continuedimprovement of good practice. Responsible for arranging departmental meetings and providingagenda, document collation and preparation and minute taking. Respond to a myriad of incoming queries regarding ClinicalEducation courses, staff development opportunities, schedulingavailability of training room and course resource requirements,university student placements and signposting of specialisteducational queries. Maintain accurate records of and monitor stationery stock levels andarrange replenishment of minimum stock levels. Carry out all office duties including photocopying, scanning and filing. Under the Data Protection Act, ensure appropriate disposal /shredding of documents as and when required. Responsible for safekeeping the security of examination documents and otherconfidential information. Ensure compliance with Health and Safety legislation, policies andprocedures and report any issues as appropriate.
