Job summary

An opportunity has arisen for an experienced office administrator to be responsible for supporting the Chertsey Operating Unit (OU), OU Manager and OU Management Team from our region.

  • Job type: Permanent
  • Part Time 15 hrs per week

  • Salary: Band 4, NHS Agenda for Change, £25,147 - £27,596 Per annum

Main duties of the job

The successful applicant will provide general administrative support to OU Management Team, compiling reports from data gathered from various sources, providing general clerical support, note taking and report writing. They will accompany managers to various meetings to support them, and therefore a polite and courteous manner is required for this role.

You are required to be flexible and have excellent time management skills. The successful applicant will have a good working knowledge of Microsoft Word and Excel and be quick to learn new data systems to extract information.

You will also support our operational staff with pay queries, timesheet inputting and uniform ordering, referring them on to other departments or managers as required for their query.

  • Provide general clerical, word processing and datainput support for the relevant teams as required.
  • Coordinate and documentation relevant to allOperating Unit Staff, liaising with HR, payroll and thelead trainer as required
  • Support our Operational colleagues , OperationsManagers and Operations Team Leaders.
  • Organise weekly/monthly meetings for the Team,handle messages and respond to enquiries.
  • Operate ESR and input all staff training records.
  • Collate all monthly timesheets, mileage andexpenses claims and input the monthly payroll onto theMPR.
  • Filing, photocopying, record keeping, postal duties,stapling, packaging, taking/making routine telephonecalls, shredding, distributing and circulating documentsand other routine clerical work.
  • Coordinate the Operational Team Leader & Operations Managers in the West and update GRS. This may include dealing with short notice changes and passing information onto operations managers of gaps within the commanders cover

Knowledge

  • Considerable secretarial/ administrative experience gained working as part of a team, using own initiative and requiring minimal management.

  • Good knowledge of Microsoft Word, Excel, Outlook, Powerpoint
